Admin Assistant
Introduction
A Bureau Assistant is sought to support the running of the BBC’s Jerusalem Bureau.
The Bureau is responsible for covering news an events in Israel, the Palestinian Territories and the wider Middle East. Journalists in the bureau deliver stories in real-time to global audiences across television, radio and digital platforms.
Main Responsibilities
As Bureau Assistant, reporting to the Bureau Manager you will provide comprehensive administrative assistance to our busy Bureau. You will be responsible for a broad range of administrative tasks e.g. the handling and direction of queries, maintenance of records, facilities management, acting as the first point of contact for the team, coordination of projects and activities. Examples of responsibility:
- Building Management : Assisting in the management of essential bureau services involving all visiting tradespeople include air-con, fire prevention and CCTV systems, electricians and plumbers, and understanding how they interface with the buildings management
- Administration: Support to the Bureau Manager in providing comprehensive administrative support to ensure the smooth running of bureau
- Translation: Ability to translate Hebrew radio news broadcasts into English where needed
- Logistics: Booking hotel and transport arrangements where needed
- Data Management : Maintaining and updating various Office logs across Jerusalem Ramallah and Gaza offices. Knowledge of MS Office Applications especially Excel required
- Communication & Stake holder Management : Interfacing with key staff in other locations to ensure bureau maintenance and safety standards are adhered to
- Technical Support: Assisting with minor technical problems when the Bureau Engineer is unavailable in full coordination with the Bureau Engineer (training will be provided). Will require coordination with external suppliers
- Systems and Processes: Responsible for coordinating team IT requests, user administration, systems access and record keeping. Working with the lead asset manager to ensure those who are joining, moving or leaving the department are equipped appropriately with the right IT
- Procurement: Assistance with ensuring that the Bureau at all times employs the services of the most efficient and cost effective suppliers

Are you the right candidate?
Fluency in English & Hebrew required - Arabic advantageous
Ability to prioritise, to use initiative and to work effectively under pressure without close supervision
Able to communicate effectively with a range of people and at all levels of the BBC
Good planning and organising skills and the ability to prioritise effectively
Practical knowledge and skills in using a range of Microsoft programs, Excel a must
Ability to meet deadlines, often under pressure
Experience of producing timely and accurate information and reports
Able to work with attention to detail and accuracy
Experience of and ability to work flexibly and pragmatically in an operational environment
A lively interest in the broadcast news, digital news and wider media environment and appreciation of the particular demands it may place on financial and administrative work
Good working knowledge of Health and Safety procedures
