Admin Assistant

Position Summary
The Administrative Assistant, at UPA West Bank Office - Ramallah, is a member of UPA’s Administration Team and will carry out administrative and operations duties at the UPA West Bank Office. This position reports to the Director of Administration.
Primary Responsibilities
1. Provides administrative support to ensure efficient operation of the UPA West Bank office.
2. Answers phone calls, schedules meetings, and supports visitors.
3. Carries out administrative duties such as filing, typing, copying, binding, scanning, etc.
4. Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
5. Exhibits polite and professional communication via phone and e-mail.
6. Supports the team by performing tasks related to organization and communications.
7. Provides information about the UPA West Bank office projects by answering questions and requests.
8. Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies.
9. Maintains the cleaning schedule for the West Bank office
10.Facilitate HR processes by supporting with announcements, advertisement circulation, shortlisting candidates, arranging interviews.
11. Provide support for the West Bank projects and activities in the department of administration.
12. Any other tasks assigned by the Director of Administration.

Qualifications
- Bachelor of Business Administration, social studies, or equivalent education or 2 year secretarial diploma with 3 years of administrative experience.
- Knowledge of appropriate software including Microsoft Word, Excel, Outlook, Microsoft PowerPoint, and Adobe Acrobat.
- Excellent time management skills and the ability to prioritize work tasks.
- Excellent English written and communication skills.
