Administrative and Logistics Assistant
Job Description
Terre des hommes Foundation is a Swiss-based international, non-governmental organisation
dedicated to child protection.
Position: Administrative and Logistics Assistant
Location: Jerusalem with regular travels to Hebron
Main Responsibilities:
-To liaise with Israeli and Palestinian authorities to facilitate Tdh intervention.
-To organize accommodation, visas and provide assistance to expatriates or visitors in OPT.
-To be responsible for Terre des hommes logistics and procurement in Jerusalem office.
-To be in charge of IT maintenance in Jerusalem and Hebron office.
-To assist the Administrator and Finance Manager in his daily tasks (Human resources follow up and filling).
Main Tasks:
1-administration:
-Provide assistance to expatriates and national employees in their administrative procedures:
visa procedures, permit requests, organize meetings with authorities, planning movements, accommodation.
-To ensure that all staff files are properly documented and updated (work contract signed, amendment signed, job description, CPP signed, internal staff regulation signed, personal administrative folder etc).
-To follow-up of the national HR contracts, attendance sheets and leaves for Jerusalem.
-To maintain the complete staff database (including Hebron, Gaza and Jerusalem) according to the Tdh guidelines
2-Logistics
-To manage and follow-up office procurement procedures according to Tdh procurement
rules (Tdh Manual of Operation)
-To be responsible that all computer systems (in Jerusalem and Hebron) are in good running
conditions.
-To be responsible of the logistical filing system of Jerusalem office according to Tdh guidelines.
-To be responsible that vehicles of Jerusalem office are in good running conditions (servicing and maintenance).
Qualifications:
-University Degree in IT / administration / other
-2 years of similar experience ideally with INGO.
-Excellent computer skills.
-Fluency in English and Arabic and proficient in Hebrew required.
-Driving licence
Personal qualities required:
-Ability to be flexible, cooperative and to work autonomously
-Ability to work in a team
-Strong organizational skills
-Good communication and reporting skills ,ability to deal with authorities
-Understanding, interest and commitment to humanitarian activities
-Ability to learn and perform duties under pressure.
