The Consulate General of Sweden in Jerusalem wishes to recruit an Administrative Assistant on a full time basis to its Section for Development Cooperation in the occupied Palestinian territory (oPt). Presently Sweden is engaged in cooperation within the areas of governance, infrastructure, private sector development, civil society and humanitarian assistance. Total Swedish support to oPt last year amounted to around 100 million USD.
The Development Section has 5 staff members, including the Head of Cooperation and 4 Programme Officers (Swedish and Palestinian). An additional National Program Officer is presently being recruited. This staff together with staff members at Sida, Stockholm, form Sida’s Country Team for oPt which is headed by the Head of Cooperation at the Consulate General in Jerusalem. The Consulate General operates in an integrated manner so staff members may also assist in the work of other sections than their own.
The main tasks of the Administrative Assistant will be the following:
· Manage the information and documentation system of the Development Section, e.g. organize and file incoming electronic and paper documents, maintain and develop filing systems and retrieve certain information from the Internet and other sources.
· Handle certain correspondence.
· Making appointments and preparing programmes for visiting delegations.
· Preparing minutes of meetings.
· Assist in the preparation of various reports.
· Assist in the budget preparation and follow-up.
· Substitute for other administrative staff of the Consulate General during leave and absence or when required for other reasons.
Candidates with the following skills and qualifications are invited to apply for this post:
· At least three years qualified experience from similar work.
· Fluency in both English and Arabic. Working knowledge of Swedish, French or Hebrew is an additional asset.
· Excellent administrative and interpersonal skills. Sense of initiative, responsibility and ability to work independently and effectively within a team with different backgrounds and competences and under pressure.
· Very good IT skills including the Microsoft Office applications.
