The European Union Co-ordination Office for Palestinian Police Support – Ramallah (EUPOL COPPS) is seeking dynamic, highly skilled professional forimmediate recruitment for the position of Administrative Assistant.
Summary
The incumbent is responsible for the provision of day to day administrative support within the Mission.
Duties
-To perform administrative and support duties, arrange meetings, draft and organize itineraries, file documents, maintain filing systems – electronically and hard copies - and record data in appropriate databases and files;
-To assist the member/s of the section/s in the preparation of project documentation, project planning and implementation of project activities and section/s businesses;
-To assist members of the section/s to prepare section/s activities such as workshops and trainings;
-To assist and coordinate the daily organisation of the section/s and other office duties;
-To schedule appointments and meetings and maintain contacts, as appropriate;
-To enter, maintain and certify administrative data and records for time attendance, performance appraisal, etc in appropriate data bases and/or electronic systems;
-To maintain up-to-date work files (both paper and electronics);
-To maintain office diary;
-Carry out other duties as required by the Head of Rule of Law section. In a first stage the administrative assistant will be working within the Rule of Law section while afterwards he/she will be required to work also in support of the other Mission operational sections.
Qualifications and Experience
-A level of secondary education attested by a diploma giving access to post secondary education, and appropriate professional experience of at least 4 years;
-Excellent level of written and spoken English and Arabic;
-Excellent organisational, analytical, research and problem-solving skills;
-Computer literacy and in particular a good knowledge of MS Outlook, MS Office (Word, Excel, PowerPoint) and internet;
-Ability to take initiative and careful attention to details;
-Ability to establish and maintain effective working relations as a team member in a multi-cultural, multi-ethnic environment;
-Ability to cope concurrently with different tasks and to work under pressure on occasions;
-Detailed knowledge of large office administration is essential;
-Must have experience supported by two recent references;
-Successful candidate may be requested to occasionally work during the weekend;
-Proven track record of practical problem solving;
-Previous experience in an International environment is highly desirable.
