Administrative Assistant
Job Description
The A.M. Qattan Foundation is seeking to recruit a highly motivated individual for the position of Administrative Assistant to work in its offices in Ramallah according to the following:
Position Type: Full time.
Duration: Two years with possible extension for one more year.
Line of Responsibility: Program manager.
Main Tasks & Responsibilities:
1-Greet & assist visitors, answer and direct phone calls and respond to inquiries.
2-Maintain office files (hard & soft copies) well classified, organized and accessible.
3-Type correspondences, reports & other work documents.
4-Organize meetings, workshops, events and retreats in coordination with the program manager.
5-Draft meeting minutes, submit them for approval and circulate the approved minutes to all relevant parties.
6-Handle distribution and filing of incoming and outgoing fax and mail.
7-Create, manage and update the program related database.
8-Any other work related tasks.
Skills/Qualifications:
-Diploma in secretarial studies, office management or related field as a minimum;
-At least 2 years of experience in administrative work;
-Excellent knowledge of office administration & bookkeeping;
-Excellent computer skills including the ability to operate spreadsheet & word processing programs.
-Excellent communication skills (verbal and written) in Arabic and English;
-Ability to work under pressure and within a team.
