Action Against Hunger is recruiting for its Gaza office a
Administrative Assistant-Maternity Leave replacement-Part time
For a period of 3 months and 15 days
The Candidate will:
-Miscellaneous reception duties such as greeting visitors to the office and logging requests for information.
-Answer incoming telephone calls and giving information to callers, taking messages or transferring calls to appropriate individuals.
-Register and distribute internal correspondence.
-Copy and scan documents as required.
-Type and send letters on request or as required.
-Organize and maintain paper and electronic files, folders, archives, books and any sort of documentation.
-Regularly organize and update the telephone book and emergency contact list, making it available in a visible place in the office.
-Manage the petty cash in appropriate manner on a daily basis.
-Collect, classify and record Action Against Hunger expense receipts in accordance with Action Against Hunger internal regulations and generally-accepted accounting principles.
-Prepare cash and bank books for the Gaza office and send these to the Base Administrator on a monthly basis, and enter expenses to SAGA according to the accountancy Handbook.
-Prepare monthly physical accountants and send these to the Accountant in Jerusalem office.
-Follow up on monthly accountants then photocopy and file these documents.
-Check, then and accept or reject expense receipts.
-Follow up on attendance and leaves of Gaza staff members.
-Follow up on employee health insurance reimbursements.
-Prepare and send monthly salary sheet to the Base Administrator.
-Prepare salary advances.
-Prepare monthly severance sheets.
-Translate documents as required.
-Participate in weekly base coordination meetings.
-Perform other miscellaneous duties that are inherent to the position and requested according to mission needs.
Profile of the Candidate:
-Higher relevant academic degree in business administration, finance or any related field.
-Knowledge of Accounting and office Administration.
-Capacity to apply organizational rules and procedures.
-At least 1 year experience in administration and accounting; experience with an INGO is a plus.
-Good Interpersonal and communication skills.
-Motivation and commitment to humanitarian work.
-Ability to work in a team context.
-Able to prioritize tasks and keep deadlines.
-Fluency in reading, writing and speaking Arabic and English.
-Word, Excel, PowerPoint and Internet, knowledge of SAGA is a plus.
