Supervisor:

The incumbent is reporting to the Administrative Officer.

Responsibilities

In accordance with established Agency policy and procedures:

  • Receives, sorts and records incoming mail; ensures supervisor is aware of items of specialinterest; locates and attaches referenced background material and distributes to other staff members as appropriate; makes photocopies of material required; drafts replies to routine correspondence; classifies and files documents including confidential material; and dispatches mail;
  • Checks the accuracy of correspondence prepared for supervisor's signature, ensures its conformity with instructions and procedures and brings discrepancies to the attention of the originator;
  • Carries out routine research requiring the gathering and compiling of files and other information; contacts other organisations, departments and units to obtain or co-ordinate material or information as and when required;
  • Monitors supervisor's diary and schedule and makes appointments; prepares travel documents and approvals; screens visitors and telephone callers for supervisor; brings to supervisor's attention pending matters including deadlines;
  • Arranges for and may attend supervisor's meetings; prepares minutes and/or summaries thereof and takes follow-up action, when required;
  • Performs typing and word processing duties including transcribing from recorded or dictated material;
  • Assists and coordinates with Administrative Officer at National Office or Administrative Officer at HQ on performing various administrative functions;
  • Is responsible for maintaining the files and records of the MD Director's Office or National Office;
  • Ensures the provision and control of office supplies;
  • Performs such other duties as may be assigned.

Job Requirements

Education

  • Successful completion of full secondary education;
  • Post high school diploma in secretarial work, office management, business, administrationor a related discipline.

- Desirable Qualifications:

 University degree in business administration, public relations or other related discipline;

Job Specific Qualifications

Work Experience

At least four years of experience in administrative and secretarial work, three of which should have been in providing service to a senior management position is required;

Experience in MS Office applications, including Word, Excel and PowerPoint is required.

Languages

Very good command of spoken and written English and Arabic.

Assessment

- Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice

Type of Contract: Limited Duration Contract (LDC), Band ML3A. The Limited Duration Contract applies to external candidates and UNRWA internal candidates on LDC. Duration of Contract: One year - with the possibility of further extension, subject to the availability of funds, satisfactory performance and continuing need.

Grade & Salary: LDC- Band ML3A monthly basic salary ranges USD (801.40). An extra payment will be paid as a "Jerusalem allowance" as required.

Other Benefits: Other benefits include compulsory medical insurance, 30 days of annual leave pro-rated to the duration of the contract where less than one year, and family allowance (if applicable).

Additional benefits:

  • 2 days of sick leave for each completed month of service.
  • Maternity Leave, upon meeting eligibility requirements.
  • 2 weeks paternity leave. upon meeting eligibility requirements.

(i) University degree in business administration, public relations or other related discipline; (ii) Knowledge of UNRWA's operations.

Only candidates residing in West Bank or Jerusalem, and within commuting distance of the duty station with authorization to work in the duty station at the time of application are eligible to apply.
