Position Summary:
CNFA is seeking applications from qualified candidates for an Administrative Assistant position for the USAID Quality Technologies Revitalizing Agriculture (Q’tra). The purpose of this activity will be to work with farmers in the West Bank and Gaza (WBG) to improve climate-resilient conservation and management of freshwater resources and associated ecosystems by increasing the availability, quality, and environmental resilience of drinking water supply sources. The duration of this Activity will be five years.
Position Description:
Reporting to the Office Manager, the Administrative Assistant will be responsible for logistics, admin, to facilitate smooth operations within the organization. She is responsible for supporting the day-to-day functioning of the project office, coordinating logistics, and assisting in procurement processes, supporting the program’s overall human resource and program administration, and maintaining necessary documentation according to CNFA policy, USAID rules and regulations, and host country regulations. The Administrative Assistant is based in Ramallah, West Bank.
Duties and Responsibilities
- Perform daily administrative tasks and provide logistical support to Q’tra staff.
- Manage calendars, schedule meetings, appointments, and arrange travel.
- Handle project petty cash.
- Conduct Watchdog Vetting.
- Assist in the procurement process by conducting administrative reviews of received offers.
- Collaborate closely with Operations and Finance teams to manage logistics and follow up on payments.
- Organize logistics for HO missions, including hotel reservations and transportation.
- Assist the Technical team with logistics and hospitality for training and field visits, maintaining an updated travel schedule.
- Support in coordinating and documenting meetings, workshops, seminars, and other activities.
- Assist in tracking staff timesheets, monitoring attendance, managing holidays and leaves, and collecting timesheets for approval and filing.
- Assist management with travel logistics, including scheduling visits, appointments, and events.
- Provide support to the project team with correspondence, filing, document editing, and obtaining approval of administrative documents.
- Maintain a clean and orderly project office and manage visitor flow.
- Perform clerical duties such as copying, data entry, communications, and simple translations.
- Manage calendars, schedule appointments, and coordinate meetings, including preparing agendas.
- Perform other duties as assigned.

Key Qualifications:
- Minimum of bachelor’s degree required in Human Resources, Business Administration, Social Sciences or Operations or any other relevant field.
- A minimum of 5 years of experience in administrative assistance.
- Experience in USAID or other donor-funded programs preferred.
- Strong organizational skills and attention to detail.
- Strong communication and intrapersonal skills.
- Ability to foster and maintain a team environment.
- Fluency in English and Arabic is required.
