Administrative Assistant
Jerusalem Office
Main Responsibilities:
-Implement administrative and management policies and procedures and ensure adherence to Mercy Corps administrative procedures by support staff.
-Responsible for general office duties such as photocopying, answering phone calls, receiving visitors, receiving and dispatching mail, circulating and filing general office correspondence.
-Help coordinate and liaise with support staff such as cleaners and drivers.
-Administration of rental and service contracts and related vendor files.
-Ensure timely payments of miscellaneous recurring office expenses, including communications, utilities, etc.
-Ensure proper functioning and maintenance of office equipment and facilities.
-Ensure that the office and guest houses are kept clean and presentable.
-Responsible of travel arrangements, hotel booking, requests for visas/permits.
-Purchase and distribution of office supplies and stationery.
-Maintain contact sheet/Constant Companion for MC West Bank ensuring all contact details are updated and distributed to MC staff and other MC offices.
-Assist with personnel files for all Mercy Corps West Bank and Jerusalem staff and assisting the Operations Manger in HR administration.
-Printing and issuing of ID cards for all staff.
-Assist with the procurement of goods/services as may be required by the Operations Manager.
-Provide Administrative support to all Mercy Corps staff.
-Control and track assets and prepare regular reports in coordination with Operations Manager.
-Conduct himself/herself both professionally and personally in such a manner as to bring credit to Mercy Corps and to not jeopardize its humanitarian mission in West Bank/Gaza.
-Other duties as assigned.
Requirements:
-University degree;
-Experience working for an international NGO is preferred;
-Patience, enthusiasm and strong interpersonal skills;
-English verbal and written communication required; Hebrew Language is preferred
-Multi-tasking, organizational, prioritization skills are necessary;
-Attention to detail, initiative, ability to follow procedures, meet deadlines and work independently/unsupervised and cooperatively with team members is required.
-Strong computer skills.
