United Nations Children’s Fund (UNICEF) is willing to fill the following vacant post:
Title :Administrative Assistant, Jerusalem
Level :GS4– Fixed Term Appointment, IMIS# 22143
Purpose of the Post
Under the supervision of the Administrative Officer, performs a variety of clerical duties related to the Administration of the office and travel
Key Tasks and Responsibilities of the Assignment
Supervises transport services by issuing schedule for use of vehicles, prepare reports on use of petrol mileage, driver overtime, and maintenance services. Reviews logbooks and ensures vehicles are kept in good driving conditions and equipped with necessary security and safety equipment. Prepares application for vehicle registration and insurance.
Drafts routine correspondence, memoranda and reports via oral instructions, previous correspondence or other available information sources, in accordance with standard office procedures.
Classifies and codes material relating to a number of subject matter areas, and maintains general office admin files. Assists in the general office maintenance including cleaning and repairs.
Searches for information and references from office files and records relating to a variety of topics. Selects information and records in specified format for use by others in preparing reports and correspondence;
Receives all UNICEF visitors and directs them to the relevant offices;
Promptly and politely answers telephone calls, when necessary taking accurate detailed messages, or attempting to track down the person depending on urgency or immediate nature of call; Screens office telephone bills and log incoming correspondence (mail and faxes).
Performs other duties as required.
Selection Criteria
Academic Qualifications
Completion of secondary education. Ability to operate a keyboard equipment, such as a word-processor.
Experience
Three years general clerical work, which should include a good knowledge of standard clerical practices and procedures.

e)-Planning & Organizing: Plans activities and projects well in advance and takes account of possible changing circumstances; manages time effectively; monitors performance against deadlines and milestones.
Learning and Researching: Rapidly learns new tasks and commits information to memory quickly; demonstrates an immediate understanding of newly presented information
g)-Following Instructions & Procedures: Doesn’t unnecessarily challenge authority; follows procedures and policies; keeps to schedules; complies with legal obligations and safety requirements of the role.
Languages
Fluency in English and Arabic (spoken and written). Knowledge of other languages is an asset.
Computer
Very good working knowledge and use of computer applications, specifically office applications (Power Point, Excel and Word) and internet tools. Use of database and statistical software an asset.
