Administrative Assistant & HR support

Job Description
  1. Organize and schedule appointments and meetings.
  2. Act as the point of contact for employees, clients, suppliers, and service providers.
  3. Managing job responsibilities associated with employees, including overseeing attendance, maintaining relevant reports, and assigning daily tasks.
  4. Maintain Employees’ training, leaves, files, records, and job description for employees.
  5. Write, send, and distribute emails, correspondence memos, letters, faxes, and forms.
  6. Printing and binding financial reports.
  7. Develop and maintain a filing system.
  8. Update and maintain office policies and procedures manuals.
  9. Handle IT requests from employees and coordinate with IT provider
  10. Order office supplies and maintain procurement process for office needs.
  11. Managing office’s bank accounts and postal transactions and correspondences.
  12. Book travel arrangements and track car logs for employees.
  13. Prepare and submit expense reports for petty cash.
  14. Handle requests and queries from managers.
  15. Handle media and social media page on LinkedIn.
  16. Follow up with clients for fees collections, reports and correspondences and coordinate with Manager on timely basis.
  17. Follow up on submitted proposals sheets, and update status as needed.
  18. Other assignments assigned by the Partner in Charge

Job Requirements
  • Holds a University degree.
  • Proven experience as an Administrative Assistant or Office Admin Assistant.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and fax machines.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.
  • Excellent interpersonal and customer service skills.
  • Proficient in language skills, with a particular emphasis on English, Arabic, and Hebrew.
