The A.M. Qattan Foundation is seeking to recruit a highly motivated individual for the position of Assistant Project Coordinator for the “STEAM PalHouse” project within the Education Unit – Culture and Education Programme. The description of this position is as follows:

Job Title: Assistant Project Coordinator “STEAM PalHouse” project, Education Unit

Contract Type: Fixed-term contract for one and a half years.

Line of Responsibility: Senior Manager, Education Unit

Work Location: Ramallah

About the Project 

STEAM PalHouse is a project by the A.M. Qattan Foundation in partnership with the Belgian Development Agency - Enabel and Jenin Youth Thought Forum. Its main objective is to support access to quality education for boys and girls, young women and men, and assist in acquiring STEAM and 21st century skills in a conducive learning environment. This will be achieved through the establishment and development of STEAM clubs in schools, as well as organizing training workshops and summer and winter camps.

 

Job Objectives

Working closely with the Senior Manager, STEAM education specialist, and relevant staff members and partners to effectively coordinate and oversee the implementation of activities related to the “STEAM PalHouse” project, ensuring that the implementation is in line with the Foundation’s vision to achieve the best possible impact and desired results.

 

Main Tasks & Responsibilities

  1. Coordinating the implementation of projects interventions and different activities with related partners.
  2. Coordinating the work of the trainer(s) and preparing all required paperwork.
  3. Arranging necessary preparations for a successful realization of the summer and winter camp including the direct communication with the participating teachers and children.
  4. Making sure that all the logistic preparations for the training workshops, field trips and summer and winter camps inside and outside the Foundation (space reservation and preparation, technical arrangements, hospitality, etc.) are done on time in coordination with relevant staff members. 
  5. Arranging and following up with the media and communication unit regarding media coverage of the project’s various activities.
  6. Assisting in following up on the project’s challenges through regular communication with the project staff and partners and through field visits.
  7. Processing payments related to the project implementation.
  8. Attending the STEAM workshops that are related to the project.

Monitoring and Evaluation (M&E), and Quality Assurance

  1. Participate in M&E meetings and activities per the approved M&E plans. 
  2. Ensure compliance with the Foundation’s policies, guidelines, and co-funded agreements. 
  3. Contribute to the implementation of data collection to capture and document the project impact according to the project’s M&E, including surveys, questionnaires, field visit reports and forms, attendance sheets, timesheets.
  4. Conduct all evaluation forms related to the learning and quality of the service offered by the Foundation and project partner(s).
  5. Conduct field visits to schools and the project locations (including JYTF). 

Managerial Tasks

  1. Assist in preparing and managing the implementation of the quarterly and annual work plan. 
  2. Gather reports from teachers in the field (field reports) and from partner (JYTF)
  3. Assist in drafting regular reports and statistics for the project, including those for the quarterly and annual reports and related budget reports.
  4. Coordinating all aspects of the project meetings and workshops and managing all required logistics. 
  5. Prepare the expense sheet for the activities.
  6. Receiving, following up, and settling payments, including paying teachers’ transportation, receiving invoices for the project, auditing them, and following up on their disbursement after taking the necessary approvals in accordance with the institution’s policies and under the supervision of the unit coordinator.
  7. Keep work files well archived and updated.
  8. Carry out any other tasks requested by the Unit Manager and Programme Director.

Job Requirements

Qualifications:

- Bachelor’s degree in business administration or another relevant field.

- At least three years of work experience.

- Experience in education or relevant field is a plus 

- Excellent knowledge of Microsoft Office.

- Ability to work within a team.

- Fluency in reading, writing, and speaking English and Arabic.

- Effective communication skills (in English and Arabic)

- Ability to adapt.

- Ability to manage ambiguity.

- Results-driven.

- Ability to plan and align.

Other Job Factors:

- Field visits are required.

- Flexible working hours are required to accommodate evening and weekend activities.
