JOB PROFILE

MSF Spain is looking for a skilled Logistic Base and Facilites Officer in Hebron to help us in carrying out all activities involving carrying out or supervising all maintenance logistics activities in the base (vehicles, fuel consumption, and local infrastructure) according to MSF standards and protocols in order to have the material, infrastructure and vehicles in optimal running conditions.

Accountabilities:

•             Planning vehicles movements, tracking individual trips, and ensuring implementation of security measures

•             Tracking consumption of supplies, fuel, lubricants, used in different facilities (office, house, store, etc.).

•             Checking the maintenance of the various open spaces (gardens, courtyards...) and ensuring that domestic waste is correctly discarded

•             Checking and ensuring the maintenance of MSF premises and facilities, as well as the general water supply, electrical, walls, ceilings etc. and security conditions. In this sense, making inspection visits to assess the rehabilitation needs of facilities.

•             Performing maintenance of logistics equipment for cold chain, energy, IT and radio communications, in particular: 

•             Inventories and the reallocation of equipment.

•             Renewing the authorization to use radio material with local authorities.

•             Checking the quality of the work carried out on generators and electrical installations.

•             Preparing orders for his sector activity, do the follow-up, and checking their proper reception and state.

•             Carrying out local purchases and ensuring that the line manager is aware of any problems linked to the quality or availability of the items to be purchased.

•             Participating in trainings at the request of the line manager

•             Following up the Preventive Maintenances activities according to the calendar. Report to line manager on monthly bases.

•             Conducting small rehabilitation/ maintenance work in construction, electricity, carpentry ,water and sanitation in Guest House, Office Consultation Room and Mobile Clinic premises and contracting if it is needed contractors or workers following the MSF procedures; Quotations request, CBA and contracts with the supervision of the Log Manager.

•             Repairing and maintenance the electrical equipments included printers in Office , Guest House and CR. Coordinate for service if needed and follow MSF procedures

•             Follow up with a proper excel sheet document, for the water and electrical consumption and payments for all the MSF premises (Guest House, CR and Office). ).Report and follow payments with Admin

•             Follow up and update Hibernation boxes using the standard MSF tool once a month in Office, CR and Guest House.

•             Manage MSF  office store, equipment’s, tools and furniture-update inventories.

•             Review the condition of the fire extinguisers in Guest House,  , CR ,Office and MCs Office and follow up of the services/refilling before the expire time following the MSF procedures; Quotations request, CBA and Contract with the supervision of Log Manager.

•             Ensure that the job request is completed in a reasonable time and after finalizing, it is signed for the requester.

•             Reporting in writing to the Log Manager the update of all the maintenance done, Fire Extinguishers updated, Hibernation boxes updated , repairing, job request, recording of water and electricity in GH, Office, CR  at the end of the Month.

•             Support with assessments in the facilities where MSF is working with is needed.

•             Support all the Medical Activities done for MSF in Mobile Clinics, Hospitals and Health Facilities.

•             Inventory and follow up for the Logistic Equipment/ furniture for MC and MSF activities. .Follow up and update Track my staff(TMS).

•             Loan management and follow up of mobiles, MSF vests, laptops etc

•             Orientation to new expats on using facilities in MSF office ,CR and GH.

•             Arrange for needed repairs and maintenance. Contract technician to do jobs when needed in coordination with the line Manager

•             Check and coordinate the cleaning of spaces around MSF premises including the roofs and yards

•             Back up of Head of Drivers following the fleet management, assigning the movement plan and the movements.
