OBJECTIVE OF THE POSITION:

 To provide safe and suitable means of transport for the smooth running of activities of the organization. Following the rules of driving and ensuring that passengers are following them too with the ultimate goal to ensure safety.

 Responsibilities:

Responsibility 1 : Fleet Management

Aim : To provide safe and suitable means of transport for the smooth running of activities

Benchmarks: suitability of means of transport to the programme context; monitoring of a vehicle fuel consumption table; Adherence to the vehicle management procedures; quality of vehicle maintenance, vehicle utilisation rate and respect for user schedule; quality of the fuel supply contract; user satisfaction

Activities:

  • Responsible of the maintenance and the checkup of the vehicles (tires especially…).
  • Ensure the cleaning of the vehicle on weekly Basis.
  • Coordinate with the line manager when organizing a general checkup of the vehicle.
  • Assist the line manager with all the issues linked to the maintenance of the cars.
  • Control of levels: engine oil, cooling liquid, fuel, hydraulic brake fluid, windscreen washer water tire pressures – including the spare wheel.
  • Control tension of belts, correct operation of dashboard warning lights.
  • Every Thursday afternoon follow up the filling of Fuel for every vehicle.
  • Ensure the refill with fuel for all vehicles at the end of each month.
  • Every month, organize a complete check-up of the cars at the rental company.
  • Ensure cost-saving through proper use of vehicle through accurate maintenance of daily vehicle logs, provision of inputs to preparation of the vehicle maintenance plans and reports.
  • Ensure the availability of all required documents and supplies including: vehicle license, insurance, vehicle log Book, and map of the city/country, first aid kit, and necessary spare parts.
  • Contact the Taxi Company for HI staff movements; collect the taxi receipts and assists in the monthly taxi sheet movement.
  • Adhere to all safety and communication protocols as advised by line manager.

Responsibility 2 : Carry Out Driving Duties

Aim: Ensure provision of reliable and secure driving by driving vehicles for the transport of authorized personnel

Benchmarks: Suitability of vehicles to the mission context, ensure respect of driving rules.

Activities:

  • Pick up and drop HI's employees and guests.
  • Respect the rules governing the use of vehicle.
  • Ensure that all immediate actions required by rules and regulations are taken in case of involvements in accidents.
  • Ensure that all safety equipment and driving documents are available prior to each trip.
  • Observing safe driving practices and respecting speed limits as required within the driving rules.
  • Report to the line manager any security event occurred or heard during the field work.
  • Drives HI employees to their appointments, field work sites, and various locations as per the assignments received from the Log Officer.
  • Operates assigned vehicle in a safe and courteous manner.
  • Presents safety briefing to passengers (visitors) prior to each trip departure.
  • Keep the vehicle ready, clean and on standby – ready for use at all times.

 

Responsibility 3 : Provide General support to the logistics department

Objective: Assist the Line Manager in the main logistics functions.

Benchmarks: Quality of support provided, reactivity and conformity with deadlines. 

Activities:

  • Assist the Line manager in the quotations collection, market survey, and contact with suppliers.
  • Effectuate the purchases and payments to the suppliers, office running costs and others.
  • Assist in the supply of materials / services for HI premises.
  • Assist the Line Manager in managing HI premises.
  • Oversee the receiving, storage and dispatch of supplies and project materials to the respective project sites.
  • Make sure that logistics storage is cleaned and properly organized.
  • Support the Line Manager in installation, maintenance, and monitoring of the IT equipment and carry out inventories.
  • Assist the Line Manager in running the physical stock quarterly.
  • Assist in maintenance of premises and minor repairs (office, guesthouse).
  • Assist in the renovation and maintenance of structures (office, guesthouse).
  • Assist the Line manager in monitoring HI premises consumptions in terms of electricity, water, communications…. etc.
  • Assist the Line Manager in scanning log documents.
  • Assist in organizing travels by taxis/shuttle/ HI Vehicles according to the availability of vehicles and the movements forecasted
  • Assist the Line Manager in monitoring the premises keys

OTHER TASKS REQUIRED:

Assist the Line Manager in any other tasks that may not be described in the job description and participate to the achievement of the settled objectives within the individual action plan

Job Requirements

Job profile requirements:

 Valid driving license with a good driving record.

  • Extensive knowledge of the operating area.
  • Basic understanding of English.
  • Knowledge of mechanics is an advantage.
  • Previous experience in INGO (From 1-2 years in the Driving Field)
  • Ability to work under pressure in an unstable and changing environment, Flexibility in work schedule.
  • Good team player.
