Job Description:
An Engineering Consulting Firm based in Ramallah is seeking to hire an Executive Assistant who will be reporting directly to the CEO. The Executive Assistant will be responsible for providing administrative and clerical services in an effective and efficient manner and ensuring that organizational operations are maintained successfully and proficiently.
Responsibilities:
As an Executive Assistant, your main duties and responsibilities will include but not be limited to the following:
Provide administrative support to ensure that organizational operations are carried on in an effective, up-to-date, and accurate manner:
-Organizing and maintaining office files
-Maintain confidential records and files
-Opening and distributing mail
-Coordinate repairs to office equipment
-Arrange for payments to suppliers, clients, and other parties
-Prepare documents and reports on the computer
-Schedule and prepare for meetings as required
Perform receptionist services:
-Greet and assist visitors
-Answer phones
-Direct calls and respond to inquiries
Assist in financial and procurement duties:
-Communicating with suppliers as needed
-Ensuring procurement runs smoothly and on time
-Manage purchase orders
-Monitor company running costs
Requirements and Qualifications:
-3-5 years experience in office administration and bookkeeping procedures.
-Ability to maintain a high level of confidentiality concerning financial and employee files.
-Must be fluent in English and Arabic.
-Must possess excellent attention to detail and high level of accuracy.
-Must have strong time management skills.
-Computer skills and ability to operate spreadsheet and word processing programs are required.
