Duration: yearly contract
Place of Performance: Al-Masyoun, Ramallah
Status: Full Time

Job Purpose: To provide support for top level executive by providing executive level
administrative support and perform general office duties.

POSITION SUMMARY

The executive assistant will provide high-level administrative and executive support related tasks to MIG Chairman by conducting research, preparing reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings and make travel arrangements for MIG Chairman.

This is a phenomenal learning experience with the highest executive position at MIG for a hard-working, goal driven, and career oriented candidate. The ideal candidate will be able to function effectively in a variety of roles under minimum supervision.
 
DUTIES AND RESPONSIBILITIES

Communication Liaison: communicating and coordinating with MIG Chairman, people throughout the company, as well as with different stakeholders. The executive assistant receives and interacts with visitors and may summarize reports and memos that are received before passing the information to the Chairman. The executive assistant should possess the ability to be professional, clear, articulate, and accurate, both verbally and in writing.

Schedule Management: the executive assistant will be responsible for scheduling including meetings, travel, and speaking engagements for the Chairman. The person will be responsible for ensuring there are no scheduling conflicts and making sure that the Chairman knows where he needs to be when. 

Information Preparation: the executive assistant will be involved in preparing and formatting information for internal and external distribution. This may include writing letters and memos, writing meeting minutes, compiling data for reports, drafting correspondence and computerized presentations, and other information preparation duties. 

Office Management: tasks include managing office supply inventory, ordering additional supplies as needed and ensuring that costs are appropriately managed, planning space allocations as required, maintaining office facilities and equipment by assisting with procurement and routine maintenance and upkeep, answering and managing incoming calls, opening and sorting mail, photocopying, and exercising good judgement on all matters. 

Records Management: the executive assistant will be responsible for setting up and managing both electronic and paper filing systems.

Undertake other duties as may be reasonably required from time to time.

QUALIFICATIONS & EXPERIENCE

-    Minimum 4+ years of solid administrative experience;
-    Demonstrated ability to manage complex tasks and prioritize competing demands in order to meet deadlines;
-    Demonstrated ability to work in a team environment and under pressure;
-    High proficiency in Microsoft Office Suite (Excel, Power Point, Outlook, and Word);
-    Able to work independently and take initiative;
-    A strategic thinker who is adept at multi-tasking in fast paced environment; and
-    Results and details oriented.

EDUCATION

To have a bachelor’s degree in English/Translation, Business Administration or any related field. 

SKILLS

-    Exceptional English and Arabic language skills;
-    Excellent interpersonal and communication skills including correspondence, managing relationships with stakeholders, and processing telephone calls and requests for MIG Chairman;
-    Excellent administrative skills including administrative support, appointments and scheduling, calendar management, client relations, designing and maintaining filing system, organizing meetings, travel arrangements, taking meeting minutes, typing and event planning;
-    Excellent research, reporting and writing skills;
-    Excellent time management and organizational skills. This means coordinating the needs and demands of multiple people in order to create a workable schedule and then often changing the schedule on short notice as situations change; and
-    Self-motivated with a positive and professional approach to management.

LANGUAGE PROFICIENCY

Fluency (written and spoken) in English and Arabic.
