Executive Assistant
Job Description
Palestine Mortgage and Housing Corporation (PMHC) is the leading mortgage finance company Palestine, a financial institution that was established to improve the affordability of home ownership in Palestine through increasing access to long term and guaranteed financing. PMHC is a major catalyst the development of housing finance and a potential issuer of new debt instruments in the capital markets PMHC is looking for a smart, self motivated and presentable candidate to fill the position of Executive Assistant, Named candidate must be familiar with and able to perform the named job objectives in filling professionalism , accuracy and on time.
Objectives:
-Undertakes representational duties on behalf of the GM to include serving as the first point of contact and liaison with an extensive network of contacts at the most senior levels both internal and externally which require good judgment, tact and diplomacy.
-Works with high level of discretion in providing wide-ranging executive assistance support setting and managing priorities and work-flow of manager as well as administrative coordinating within the equivalent organizational structure.
-Handles and organizes meetings and video conferences. Maintains the GM's calendar, scheduling meetings and appointments, assist in setting up agenda, takes minutes when required and ensur that all relevant documentation is available for meetings and appointments.
-Effectively tracks and monitories a variety of activities to ensure that management decisions are properly carried out and adequately communicated.
-Ensures effective use of the GM's time by prioritizing and screening and channeling telephone call and correspondence, and by extracting and/or highlighting key issues.
-Draft correspondence, emails, edits and formats documents and other written materials. Ensure quality for all correspondence and documents requiring GM's signature.
-Organizes travel arrangements and itineraries for the (GM including ticketing, hotel arrangement appointments aboard, etc.
-Creates and maintains GM's files, manages content, and ensures that working files are available on current issues.
-Act as office manager by being responsible over the receptionist work in front of top management.
Qualifications Required
-University graduate. At least 4 years experience in similar position.
-Strong command and communication skills in both Arabic and English (both written and spoken including typing skills.
-Ability to work independently and as part of a team. Strong organizational skills and ability to manage multi-tasks, Strong interpersonal and communication skills. Ability to perform under pressure and flexible working hours.
