Job Purpose:
The Executive Coordinator will support the company director in daily managerial tasks, ensuring smooth operations across multiple business areas. The role involves handling administrative, operational, and client-related matters, including meeting follow-ups, contract management, vendor and client negotiations, and process optimization. The ideal candidate will be highly organized, proactive, and capable of managing multiple responsibilities in a fast-paced environment.
Work Responsibilities:
- Manage and coordinate meetings, and ensure timely follow-ups.
- Maintain clear communication with internal teams and external stakeholders.
- Oversee contract negotiations, liaise with vendors and suppliers, and ensure compliance with company regulations and requirements.
- Monitor and improve internal administrative processes, ensuring efficiency in document management, reporting, and workflow optimization.
- Maintain databases for clients, vendors, and internal documentation through an internal in-house system.
- Prepare reports, summaries, and presentations for internal and external use, ensuring clarity and professionalism.
- Assist the marketing team with email marketing campaigns, content creation, and company profile management.

Requirements:
Education & Experience:
- At least 2 years of experience in similar roles
- Strong leadership and management experience
- High proficiency in using computers, online tools, and productivity software
- Excellent written and spoken English
- Experience in marketing tools and strategies such as LinkedIn, Canva, and Hubspot is a plus
Knowledge, Skills & Attributes:
- High organizational and time management skills with the ability to multitask effectively
- Strong written and verbal communication skills
- Ability to formulate, draft and maintain company documents and policies
- High level of discretion and confidentiality in handling sensitive information
- Proficiency in negotiation and problem-solving to support contract and vendor management
- Strong attention to detail and ability to maintain accuracy in high-pressure situations
