Executive Secretary - Chancellor
The International Committee of the Red Cross (ICRC) is an independent, neutral organization ensuring humanitarian protection and assistance for victims of war and armed violence. It takes action in response to emergencies and at the same time promotes respect for international humanitarian law and its implementation in national law.
Your Job (specific and general activities)
-Is responsible for the information management of the Gaza Sub Delegation, contributes actively to implement all information management projects or programme and organizes training for all new comers (mobile and resident staff) on information management.
-Is the focal point for ICRC protocol, rules for correspondence, document security, filing and intermediary archiving, how to use standard computer technology. Ensures compliance with the rules of visual identity in external presentations, letterheads, etc. Ensures that all users understand the need for and apply ICRC related policy and procedures. Ensures that the letterhead stationery, business cards, envelopes, etc. comply with the applicable visual identity rules
-Organises regular training or information sessions on information management
-Supports the management of ICRC Gaza, helps the management team to organize the priorities of the delegation.
-Acts as a facilitator within the management team and eases decision making process, ensuring a coordinated and consistent work flow.
-Carries out all secretarial tasks, including the management of external contacts, organizes meetings, takes minutes of meetings, writes correspondence/drafting initial reply in Arabic to English and vice versa, filing, photocopying and mailing,
-Explains, applies and ensures application of the procedures for intermediary archiving of electronic and paper documents.
-Prepares the mail (pouch)
Your Profile (skills & experience required)
-University degree or professional diploma
-3-5 years work experience in a similar field
-Very good knowledge of written and spoken English
-Very Good computer skills and interest in IT tools/software
-Capacity to train and supervise staff, carry out complex activities / files in various fields and treat information confidentiality
