What You'll Be Doing (Essential Duties)

  • Assist in the preparation of regularly scheduled financial and admin reports
  • Noting down minutes of the meetings
  • Maintain the leave and holiday calendars and assist in tracking staff's unused vacation
  • Organize and maintain files and databases.
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Manage communication including emails and phone calls.
  • Schedule appointments, meetings, and reservations as needed.
  • Maintain and order office supplies.
  • Develop and maintain suppliers' contact list
  • Coordinate staff transportation arrangements.
  • Assist local staff with routine administrative and office daily procurement duties.
  • Handling the petty cash 
  • Book travel arrangement and reconcile travel expenses
  • Handling organization’s car log sheets
  • Handling all issues related to project vetting and contracts requirements
  • Maintain the Fixed Assets Registry Record
  • Assist the Finance & Admin Manager in the daily activities.

Job Requirements

Qualifications

  • Bachelor’s degree in accounting or finance.
  • At least 2-3 years of experience preferably in NGOs
  • Knowledge of procurement and office management systems and procedures.
  • Passionate about the job - Ability to multitask, prioritize, and manage time efficiently.
  • Proficient in MS Office.
  • Good communication and writing skills in Arabic and English.
  • Knowledge of operation of standard office equipment.
