Stars of Hope Society (SHS) is a lead woman with disabilities organization in Palestine. It is a woman-centered organization that is based on a collective model of operation. It is the only organization of its kind in Palestine and one of a few numbers internationally.

The organization is headquartered in Ramallah, with a branch office in Gaza, with a dedicated team of 26 talented persons. 

The objective of the position:

Stars of Hope Society (SHS) is seeking a skilled and motivated Finance & Admin Assistant to join our dynamic team. The ideal candidate will have experience in financial management, administration, and compliance within humanitarian projects. This role offers an exciting opportunity to contribute to SHS’s mission by ensuring efficient financial operations, supporting administrative functions, and assisting in the overall coordination of financial and HR-related tasks. The position holder will play a crucial role in maintaining financial integrity, supporting emergency response efforts, and ensuring smooth office operations in Gaza.

Key Duties and responsibilities:

Financial Management

  • Ensure compliance with financial procedures and emergency response systems in alignment with organizational policies and donor regulations.
  • Record all daily financial transactions and allocate costs appropriately in the financial system, ensuring proper documentation.
  • Prepare financial reports for projects to be reviewed and submitted to donors.
  • Verify that all required documentation is complete before processing payments (e.g., contracts, VAT exemptions, invoices, payment authorizations, purchase orders, procurement documents) and after payments (e.g., receipts, copies of checks).
  • Maintain an organized archive of financial and administrative records for audits and reporting.
  • Act as the focal point for urgent payments to staff in Gaza, ensuring timely and accurate disbursements.
  • Coordinate with relevant teams to ensure compliance with financial regulations and payment processes.

Emergency Response Coordination

  • Collaborate with emergency response teams to integrate financial and administrative considerations into operational plans.
  • Provide timely and accurate financial data to support decision-making during emergency responses.
  • Work closely with the Finance Officer and other relevant staff to ensure smooth interdepartmental coordination.

Administrative & Human Resources Support

  • Maintain and update employee records (both hard and soft copies), ensuring accurate documentation of contracts, time sheets, leave records, and other HR-related documents.
  • Assist in coordinating HR processes between the Gaza and Ramallah offices.
  • Support the Gaza Office Manager with meeting arrangements, logistical planning, and minute-taking.

Reporting & Institutional Outputs

  • Update the monthly cash book and ensure accurate financial tracking.
  • Provide weekly reports and updates on assigned financial tasks.

Job Requirements

Qualifications & Skills

  • Bachelor’s degree in Accounting, Finance, or a related field from a recognized university.
  • 3-4 years of experience working in financial management within NGOs.
  • Strong understanding of financial principles, budgeting, and accounting practices, with the ability to interpret and analyze financial data.
  • Excellent organizational skills, with the ability to manage multiple tasks and meet deadlines.
  • Strong interpersonal and communication skills, with the ability to work effectively with diverse stakeholders.
  • Knowledge of the Bisan Enterprise System is preferred.
