Scope of Work:
-Prepare and maintain Human Resource Administrative systems and documents to ensure compliance with IMC policies and donor requirements
-Ensure HR/ Admin documents are scanned and submitted to Split/ LA with backup copies filed
-Prepare monthly payroll and grant allocation for national staff within approved budgets
-Prepare personnel documents including hire, rehire, transfers, termination, leave requests
-Prepare and maintain contracts for employees
-Ensure that payroll timesheets are prepare in a timely manner
-Prepare and maintain IMC compliance documents including registration, duty free (tax exemption status), Non- discrimination policies, drug free workplace, terrorism affidavit
-Assist with the preparation of IMC financial and admin reports
-Assist IMC maintain good relations with other NGOs Conduct survey on employment, salary levels, benefits as per supervisor directive
-Scan all Human Resource and Financial documents (Appendixes) as may be require.
-Scan other documents as assigned including pipelines, asset listing, inventory reports, contracts vehicle listing, etc
-Assist in maintaining strong systems of internal controls for financial transactions and cash safe
-Code IMC reference numbers on documents .s within approve budgets and grant allocation chart
-Data Entry of Batches and transactions into ACCPAC
-Process approved reallocation of expenses between grants
-Separate and create Excel worksheet for daily cash disbursement request and payment vouchers into CTJs, BTJs,
-Maintain filing of vouchers into separate folders
-Assist in the writing of Checks.
-Ensure proper documentation - including requisition, request memos, proforma invoices, bid analysis, cash invoices, purchase orders, stamps (paid/ goods or services received/ delivered) financial transactions
-Prepare payment vouchers.
-Prepare monthly bank/cash reconciliation.
-Prepare Accounts (AR) and Accounts Payable (AP) analysis
-Generate monthly expenditure report on major line items in approved budgets for grants based on ACCPAC final closing report

Minimum Qualifications:
-Bachelor degree
-One year of experience with HR/Admin finance preferably in an NGO
-Good English
-Good communication skills

-Experience of working with HR/Admin
-Flexibility and high motivation to learn
