DIMENSIONS:
-Handling queries (general) - wide-ranging internal and external, including detailed information

KEY RESPONSIBILITIES:
-Assist in preparing project`s budgets and monitoring them.
-Provide support to project partners in maintaining books of account and other reporting
requirements through periodic visits, training, communications, etc.
-Regular partners visit for reviewing the supporting documents of the financial reports &
stamping them.
-Conduct audits of projects and partners.
-Provide reports to the FM and Programme Coordinators on the status of
beneficiary/partner reports & accounts.
-Check project budgets monitoring and submit to FM regularly at least on a monthly basis.
-To carry out training to all staff and partner`s staff in Oxfam agreed procedures,, basic
accounting procedures, reporting requirements, financial reports supporting documents
and bookkeeping.
-Preparing donors reports & submit them to Finance Manager for review & approval.
-Update budget on Oxfam GB program software (OPAL).
-Responsible for timely disbursement ( cash and Bank) of grant payments for partners.
-If & When needed upload monthly accounts into PeopleSoft as per set up deadlines
-If & When needed prepare monthly accounts for submission to RC and ensure that they
are properly authorised; print PeopleSoft reports.
-Prepare information required by auditors.
-Prepare staff payroll & Update the monthly EOC sheets for both the local and int’l staff.
-Assist the FM in preparing the yearly country budgets.
-If & When needed revise, audit, and process all the payments assuring it includes all the
supporting doc’s: invoices, receipts, proof of payment, procurement doc’s, and or contracts, etc.. This will require seeking appropriate authorisation and submitting the documents to the FM for review & approval and insuring that all supporting documents are appropriately filed.
-To ensure that Oxfam financial procedures are followed
-Coordinate with Logistics to ensure that fixed asset registers A, B, & C are regularly up to
date.
-If & When needed follow up with Oxfam GB stakeholder like MOF, MOI, Banks....
-Finance induction for new staff.
-Responsible for the balance sheet accounts: Accruals, prepayments, creditors and
debtors’ accounts.
-TO ensure all records are filed in an orderly and accessible manner
-Any other responsibility or task that may be assigned by your line manager.
