AMIDEAST, an international non-profit organization in the West Bank and Gaza, is seeking full-time qualified candidate for its USAID funded education program-Model Schools Network (MSN) Program. AMIDEAST is recruiting for the position of Finance and Procurement Assistant to be based in its main office in Ramallah:
Finance & Procurement Assistant
The Finance and Procurement Assistant is responsible for helping in Financial & Procurement services of the MSN program, such as the day-to-day accounting and financial processes, operations support, and providing support to the finance department and procurement team. Provide support in-terms of processing vouchers, and maintaining a financial record keeping system for the project. Assist in Procurement and logistics matters.
Overall Position Responsibilities:
-Preparing the USAID monthly & annual VAT reports.
-Assist in managing the accounting and financial operations for the MSN project, maintaining all accounting records.
-Responsible for assuring full support documentation for project transactions; Provide support in maintaining procurement database and filling system.
-Assist in arrangements for requesting Zero VAT invoices for vendors and suppliers.
-Help MSN team in preparing payment requests submitted to finance including organizing and sorting documents.
-Verify billed amount against contracts, purchase orders and other supporting documents; and interact with suppliers and respond to their queries regarding payment of bills.
-Contact and coordinate with the beneficiary schools to obtain their needs including quantities and specifications of commodities and supplies and involved in related logistics and field work.
-perform activities such as sending requests for offers, evaluate and compare suppliers' offers and compile and prepare corresponding evaluation reports/tables;
-Provide support to MSN team in the administrative works related to tenders and requests for quotations including organizing bids receipt, bids opening and data entry of bids and prepare bid analysis documents.
-Provide support in arranging meetings, bid opening sessions and vendors meetings.
-Liaise and coordinate with the local vendors, companies and relevant local authorities.
-Any other duties as assigned.
Minimum Qualifications and Required Skills
-Bachelor’s degree preferably in accounting, finance or business administration.
-At least two years of work experience preferably in finance and procurement.
-Familiarity with USAID project work preferred.
-Fluency in English and Arabic.
-Excellent knowledge of software applications: Word, Excel, PowerPoint, Internet, and e-mail.
