Action Against Hunger is recruiting for its Gaza office a

Human Resources Assistant 

For a period of 3 months with possibility of extension

General Objective

To assist the HR department with day-to-day operations of the HR functions in Gaza base.

Tasks and responsibilities:

Support the recruitment process:

  • Support in Gaza base recruitment processes and prepare all needed documents during the recruitment processes (announcements, job offers ... etc.).
  • Support in CVs screening upon the announcement of new recruitments.
  • Sending formal communications to candidates, responding to candidates’ enquiries, and arrange the schedule for test and interviews, creating interviews on People ADS (HR online system) and sending apology letters.
  • Attending the written tests as AAH focal point.
  • Archive the documents related to the recruitment process appropriately.
  • Create new positions (if needed) and open the recruitment on People ADS (with HR Officers support).
  • Follow-up new hires orientation by receiving and providing all documents needed upon the arrival of each new staff member
  • Supporting in the coordination of the briefing agendas, enduring smooth and complete induction provided to each new staff member.

HR administrative management: 

  • Prepare under the supervision of HR officer all Gaza staff employment contracts, contract amendments and contract extensions.
  • Follow-up and update on regular basis, the Gaza employees’ files, and make sure that all documents are available, signed and correctly archived (digital and physical) according to AAH archiving guidelines.
  • Upload all necessary information and documents in the organization’s online HR system
  • Follow-up the attendance software for Gaza employees, prepare the attendance sheets and following up the required signatures and proper archiving.
  • Check and validate each employee monthly attendance report versus approved leaves and overtime requests.
  • Follow up the leave requests for Gaza staff members and maintaining up to date records of validated leave’s requests according to the Internal Regulations
  • Prepare the Gaza base monthly payrolls and salary advances under the supervision of the HR Officer
  • Distribute monthly salary slips to Gaza employees.
  • Regularly update the emergency contact list & Gaza base organigram.
  • Prepare and follow up HR letters and documents upon request (Working certificate, probation period letters, exit checklist ... etc.)
  • Follow up the signing of timesheets through the online signature tool.

Health Insurance management:

  • Act as AAH focal point for health insurance enquiries and getting needed approval from the company for the various health related procedures.
  • Prepare health insurance claims and follow up staff insurance reimbursement.
  • Follow up adding new employees to the health insurance policy and removing employees upon their departure.
  • Follow up the health insurance payments with finance department.
  • Support the HR department in case of updating/renewing the health insurance policy annually upon request and if needed.

Other tasks:

  • Support the HR Officer in the follow-up of the implementation of the Annual Training Plan, Action Against Hunger’s training platform upon request and when needed.
  • Support in the follow up of annual performance appraisals and probation period appraisal.
  • Collaborate with HR officer in updating the HR monthly report.

Job Requirements
  • Bachelor’s degree of Administration Sciences or any related area.
  • Basic knowledge of HR Administrative Management.
  • Minimum 1-year experience in HR/Administration related field.
  • Experience in similar role working with international or national INGOs
  • Motivation and commitment to humanitarian work.
  • Good communication and organization skills.
  • Proactive, dynamic and able to foster a positive work environment.
  • Fluent spoken and written Arabic. Good English Language level both spoken and written
  • Computer skills in MS-Office (Word, PowerPoint and internet, command Excel)
  • Valuable prior experience in issues related to the promotion of gender equality or personal commitment to gender equality.
