The Opportunity Human Resources Assistant

Post location:  oPt Country Office - Ramallah

Contract Duration and Level of Effort: 2 years (renewable)

ROLE PURPOSE:

The HR Assistant will help the CO HR staff with the administration of the day-to-day operations of the organization's human resources department and to ensure compliance with Save the Children policies and procedures.

In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.

SCOPE OF ROLE:

Reports to: Human Resources Manager.

Staff reporting to this post: no direct reports.

Budget Responsibilities: None. 

KEY AREAS OF ACCOUNTABILITY:

Key Area 1: General HR Support/Operations:

  • Support the CO recruitment process; CV screening, setting interviews, test & schedules.
  • Assist in preparing the interview packages. Ensure sharing the pre-read documents of SCI mandatory policies with shortlisted candidates prior to attending any interview.
  • Act as a focal point in the HR department for requests and preparations of HR-related letters for local and international staff, secondees, and interns (work certificates, invitation letters, Visa packages, bank letters… etc.).
  • Assist in completing SCI-required reports as needed and under the supervision of the line manager.
  • Assist in supporting the audit process and requirements.
  • Maintain confidentiality of all sensitive HR information at all times.
  • Make sure that all personnel files are updated including e-archiving assuring confidentiality, accuracy, and as per SCI standards.

Key Area 2: Staff Insurance:

  • Main focal point for the CO, WB, and Gaza FOs staff insurance.
  • Ensure that all staff is covered by relevant insurance policies and as per SCI standards and responsible for registry/termination of the insurance is in line with staff contract durations.
  • Follow up with the insuring company on staff claims and coordinate with staff for claim/reimbursement processes.
  • Update the insurance tracking sheet regularly and make sure of accurate filing and maintaining the insurance files.
  • Ensure that all travelers are covered by the appropriate travel insurance.
  • Maintain the alignment and coverages of staff holding Jerusalem IDs under SCI Health insurance plan, prepare monthly allocation and quarterly payment, and update the enrolment as needed and in accordance with the policy.
  • Ensure new starters receive their insurance cards on time

Key Area 3: Effort Reporting and Leave balance tracking:

  • Assist the HR officer to follow up and ensure that all staff fills their timesheets regularly.
  • Run required reports on a daily/weekly basis and follow up on the results.
  • Assist in providing support for staff on the CO level as needed.
  • Responsible for maintaining CO staff leave balance up to date both manually and on Oracle.
  • Assist in ensuring both ER and Oracle have the same data, well a reflection of staff leaves.
  • Contact FMS for technical support in regard to the online ER issues.
  • Prepare an Annual Leave Accrual sheet on a monthly basis.

Key Area 4: New hires onboarding:

  • Assist in the coordination needed for structured induction (passport to success) for new hires.
  • Track and follow up on the completion of SCI mandatory trainings.
  • Share the probation period package including mandatory policies with all needed details, links, and instructions to all newcomers and ask them to complete SCI mandatory trainings.
  • Any other duties as assigned by the line manager or the designate.

Job Requirements

In order to be successful you will bring/have:

QUALIFICATIONS    

  • Diploma, BA in Business Administrator, Human resources or any related field.
  • Certificate course in HR is preferable.

EXPERIENCE AND SKILLS

Essential

  • 2+ years of relevant working experience in the same field of HR.
  • Good understanding of HR administration-related issues, basic on general HR management, knowledge on office management and filing.
  • Maintaining confidentiality, documentation & filing skills.
  • Excellent interpersonal communication skills, very accurate in drafting letters and emails.
  • Very good in database information management, MS Office and email.
  • Excellent time management skills.
  • Commitment to Save the Children values.
  • Ability to work as part of a team and work under pressure.
  • To be non-discriminatory and gender-sensitive.
  • Good in both English & Arabic, written and spoken.
