Logistic & Administrative Assistant
Tasks and Responsibilities
Coordination
- Coordinate the relationships with WW-GVC office service suppliers, office owner, contracts
- Coordinate logistic issues with the field offices
- Ensure the smooth organization of tax exemption for WW-GVC activities
- The Logistics Coordinator will be responsible to establish and manage overall logistics, including structures and staffing level.
- Ensure the timely delivery of logistics support services
Purchase & Procurement
- Follow Purchases and Ensure that WW-GVC Purchasing and Procurement Procedure is respected
- Purchase stationary, consumables goods and any other item needed for the good functioning of the office
- Prepare and submit reports and analysis related to procurement
Stock
- Being responsible for the management, maintenance and inventory of WW-GVC main office and bases in OPT (furniture and equipment – computers, telephone, internet service and cars)
- Supervise and Ensure that stock reports and physical inventory are properly done, documented and matched
- Supervise and Ensure the respect of GVC Stock rules and that the related tools are properly used (Reception Forms, Delivery Notes, Stock Cards)
Fleet and Premises
- Supervise and Ensure that fleet rules are implemented, understood and respected on all bases
- Supervise and Ensure that fleet tools are properly used (Log Books)
- Supervise and Ensure that the monthly fuel and maintenance cost follow-up tool is properly filled in
- Define the needs and propose solutions in terms of premises (including Internet provider)
- Supervise and ensure the follow up of the fleet weekly and monthly maintenance and checks.
- Ensure safe and efficient transport of staff in coordination with the Security Officer
- Equipment and Communication
- Supervise and Ensure that the documents related to equipment are compliant with WW-GVC rules
- Supervise and Ensure the accurate update of the equipment follow-up tools
- Supervise and Ensure the accurate update and follow up of Communication/Mobile Phone needs for the offices
Administration
- Reply the phone calls and answer queries, sending faxes and any type of communication needed to facilitate the offices work
- Support Country Representative with the preparation of documents and visa requests
- Support Finance Department with the preparation of the documents, archiving, preparing payments and collected documents needed
- Support in scanning and file preparations in reporting phases
Human Resource Management
- Folder and Maintain staff folders (both electronic and hard copy)
- Prepare and revise where necessary staff contracts/amendments
- Ensure that the income tax obligations are met
- Supervise and Ensure compliance regarding contracts, health insurance, work insurance, and non-financial employee benefit;
- Provides information to the staff regarding conditions of service, duties and responsibilities, and privileges and entitlements under GVC Rules and Regulations;
- Monitor staff compliance with GVC rules and regulations and Palestinian Labor law, i.e. collection of timesheets, annual leave, sick leave and any other relevant issue, and report
- Folder and Maintain the HR and Log folders in order (both electronic and hard copy)

Requirements:
A university graduate with a bachelor’s degree in Business Administration
Minimum of 2- 3 years of relevant experience in a similar role, preferably with an NGO
Valid driving license
Excellent in Arabic & English language (writing & reading), (Hebrew is an added value)
