Job Description
The Head of Mission for EUPOL COPPS is advertising the following vacancies at its Headquarters in Ramallah.
Vacant Position: Logistic Assistant
Reporting to: Logistic Officer
Number of incumbents: One
Summary
Under the overall supervision of the Logistics Officer, the incumbent is responsible for all activities
related to the asset management. He/she oversees the administration of all assets in the mission.
Duties
1-Assists Logistics Officer in planning, co-ordinating and controlling all aspects related to assets at EUPOL COOPS:
-Monitors assets transactions in order to ensure that the inventory of the Mission assets is
properly accounted for, and the directives on the asset management are being adhered to;
reconciles and certifies the results of the annual physical verification of the Mission assets with
the centralized assets’ database; ensures that assets have been physically seen and barcodes/
serial numbers have been confirmed against records, prior submission of the report to the
management; ensures that any discrepancies are properly investigated and documented.
-Monitors the proper maintenance of EUPOL COPPS Inventory system in order to verify that the assets’ information contained therein is accurate for the Mission. If any discrepancies are identified, the incumbent ensures that corrective actions are taken immediately.
-Ensures that all goods are properly inspected, bar-coded, registered, assigned, delivered and are
accordingly processed in the Inventory system.
2-Expedite all assets operations, and is accountable for all activities related to asset control.
-Upon receipt of information on arrival of goods (either from local vendors or suppliers abroad), the incumbent inspects the goods to certify that items were received in the quantity and of the quality as specified in Procurement Request, Purchase Contract, invoices and supporting documentation.
-Receives documents accompanying supplies and assets/equipment identified for movement,
transfer or given on loan; ensures adjustments of data in the Inventory system.
-Organises handover and inventory controll of the assets given on loan/donation to local
institutions and/or implementing partners as governed by administrative instruction on asset
management.
3-Provides technical guidance on asset management.
-Upon direction from Logistics Officer organizes the necessary arrangements for the movement and transfer of assets and supplies within the Mission and the EU Missions.
-Maintains the assets data entered in the asset module, inspecting as necessary for correctness
and completeness; analyses work methods and work flows to establish most efficient use of human and material resources in asset management.
4-Performs related duties as assigned.
Qualifications and Experience
-An advanced University Degree in Business Administration or equivalent academic or
professional training
-To have a minimum of 4 years of working experience with logistics and administrative procedures
-Excellent level of written and spoken English and Arabic.
-Excellent Computer skills required: MS Office, Microsoft Excel, Microsoft Word
-Ability to take initiative and careful attention to details
-Ability to establish and maintain effective working relations as a team member in a multi-cultural,
multi-ethnic environment.
-Ability to prioritize and manage a high workload on occasions
-Ability and willingness to work additional hours if required.
