THE JOB
Under the responsibility of the Administration Officer, the Logistics Assistant will assure the smooth running of material operations and the management of the associations assets, whilst applying the associations procurement policy and rules for managing its assets, and ensuring the security of both human and material resources.
S/he Main tasks will include:
-Organize the different stages of the local and regional purchasing of goods and services: market surveys, quotations, bid analysis, pro forma requests, ordering, receipt, conformity checks, and organize necessary transportation according to HI purchase procedurs.
-Manage the supply of materials/ services for HI premises in Jerusalem and Ramallah, and support Gaza office when needed.
-In charge of the offices equipment/IT needs identifications, installation, allocation, follow up of its maintenance, monitoring and updating related follow up charts and files, and running physical sock take in accordance with HI equipment's monitoring procedures.
-Responsible for the vehicles management (reinforce the rules governing vehicles usage, organize its maintenance when needed, regular check up , follow up of administrative tools: car documentation, log books, weekly checking, and update all vehicles related monitoring charts and files).
-Responsible to collect movement planning for all staff/visitors/consultants on the mission, updating related movement/vehicles follow boards, allocation of available vehicles, and organizing travel means and accommodation.
-Responsible for the follow up of staff visas, work permits and passports renewal (documents preparations, submission to related parties, and its continues tracking).
-Responsible for the offices running costs/ suppliers payments.
-Perform driving duties as requested.
THE SUCCESSFUL CANDIDATE
-Must have a bachelor degree in Logistics, IT or other related social sciences.
-At least 1 year experience in similar positions with International NGOs preferable.
-Good understanding in the Logistics processes.
-Must have a strong practical knowledge of MS office (Word, Excel, outlooketc).
-Ability to work under pressure in an unstable and changing environment, Flexibility, ability to take initiatives and make decision. .
-Must have strong organizational skills, posses diplomatic, strong communication and interpersonal skills.
-Solution oriented.
-Should be aware to the needs of vulnerable groups.
-Excellent knowledge in English and Hebrew languages (written and spoken),
-Must be Jerusalem ID holder.
-Must have valid driving licence at least for five years.
-Knowledge in the driving routes of the West Bank and to boarders. Initial contract will be for a period of 1 year and the position is based in Jerusalem.
