Logistics Assistant
The Norwegian Refugee Council (NRC) is a non-governmental, humanitarian organization with 60 years of experience in helping to create a safer and more dignified life for refugees and internally displaced people. NRC advocates for the rights of displaced populations and offers assistance within the shelter, education, emergency food security, legal assistance, and water,sanitation and hygiene sectors.
The Norwegian Refugee Council has approximately 4000 committed and competent employees involved in projects across four continents. In addition, NRC runs one of the worlds largest standby rosters -NORCAP, with 650 professionals, ready to be deployed on 72 hours notice when a crisis occurs
The Logistics Assistant will assist with procurement and logistics in NRCs office in Gaza.
Job description
*Procurement:
Undertake procurement tasks including but not limited to gathering quotes and purchasing items in accordance with NRC rules, regulations, practices and procedures including the logistics handbook
Receive and register all Purchase Requests (PR) in PR-tracking system
Assist with maintenance of the procurement file with all supporting documents
Ensure Bid Analysis is carried out when needed according to existing procedures
Prepare Purchase Orders (PO) and assist with preparation of contracts for preferred suppliers
Assist with preparation of Preferred suppliers contracts
Liaise with existing suppliers
*Asset and Stores management:
Label all assets
Ensure that inventory lists are kept timely and correctly maintained
Keep procured items such as supplies and stationeries safe and locked at any time
Distribute stationeries and supplies upon requests
Ensure that transfer of equipment is documented.
*Vehicle fleet management:
Assist with supervision of NRC drivers and their movements
Assist with registration of request for transportation and arrange for transport with NRCs own vehicle or taxi company
Ensure all taxi booking are recorded and verified versus the monthly invoice received from the taxi company
Assist with filling out the monthly car pool report and ensure that fuel consumption averages are reasonable depending on vehicles, roads and conditions
Assist checking that the vehicle log book is properly filled out
Ensure NRC vehicles are kept in good working condition and the vehicle maintenance information is updated
Verify all fuel invoices from preferred fuel suppliers
*Information Technology:
Assist with updating of all computers and ensure they have updated version of antivirus and no illegal software is installed
Liaise with preferred IT service providers
Help and encourage all staff to carry out backup of personal computers
Assist with keeping NRC Filing Tree operating and backed up on weekly basis
Assist with updating of NRC Contact list
Qualifications
Diploma in relevent field
Minimum 3 years of experience as Logistics.
Preferable to have experience working in a logistics office.
Service minded and a pleasant personality.
Be able to work outside normal working hours.
Excellent command of English, Arabic .
Experience of working with non-governmental organizations is an advantage.
