Position: Management and Human Resource Assistant
Responsible to: Regional Manager
Placement: Jerusalem
Period: One Year (with possibility of extension)
Work Percentage: Full- time

Main Responsibilities:
Management Support
-Ensure documentation and follow up of decisions taken in the Regional Management team
-Assist with information sharing and communication both internally and externally
-Coordinate and compile regional input to different requests from Head Office upon request of the Regional Management team.
-Assist the Regional Manager in any required area upon request
Human Resources
-Prepare requirement profiles and job assessment/criteria in coordination with relevant Managers prior to job advertisement.
Compile job descriptions
-Prepare Advertisement for the Vacant Positions
-Compile qualifications and short-listing.
-Make necessary preparations for the interviews, upon request be part of the interview group for candidate selections, participate in the assessment meetings following the interviews and check-up references.
-Prepare contracts for new employees and be responsible for insurance policies for new staff including life and disability, health and pension plans.
-Responsible to gather and compile information (with lawyer and auditor) in order for the Regional Management team to take informed decisions in relation to the HR handbook in the respective countries of the region.
-Responsible to assist in different Processes, such as residential accommodation, travel and immigration of expatriate staff in coordination with the Finance and Administrative department
-Coordinate social events at the Jerusalem office
Administration and Communication
-Represent Diakonia in networks and meetings relating to HR and Administration
-Coordinate and update security and communication plans.
-Be the contact person for security within the Jerusalem office, and make sure that security information is forwarded to the relevant staff members.
-Be the contact person for Voice IT (Diakonia’s intranet) linking programs and countries with Head Office.
-Be a resource for the Country and Program managers in relation to Diakonia’s photo bank, profiling guidelines and materials.
-Organize program and logistics for study tours of Swedish groups to Israel/Palestine, be the contact person and link between Diakonia Jerusalem office, the Head Office and the other Swedish Organizations with the assistance of the office administration.
-Organize, meetings, seminars and workshops, in coordination with the Finance and Administration department in regards to the Jerusalem office and the relevant person in regards to country offices.
-Maintain and update administrative records, files, documents and information in accordance with Diakonia
policies and procedures.
-Arrange and process regional staff travel as well as visitors to the regional office in respect of official trips with the assistance of Jerusalem Office Administrative staff.
-Maintain safe custody of all regional administrative documents and records.
Qualifications:
1-BA in Business Administration or any other related area.
2-Minimum Two years of relevant experience and ability to work under pressure
3-Relevant Human Resource education and experience with local and international staff.
4-Working knowledge of computerized systems and other computer application packages
5-Good interpersonal skills to be able to relate to people of diverse backgrounds.
6-Proven writing skills in English and Arabic and fluency in both languages, Hebrew is an asset.
7-Good communication, presentation and organizational skills and ability to work in a team
8-Driving license.
