Job Summary:
HALO Trust is seeking a professional and reliable Office Administrator to support its operations in the Gaza Strip. The Office Administrator will be have a wide range of responsibilities, which include administration, human resources, logistics and procurement. He or she is responsible for ensuring compliance with HALO’s internal regulations, policies, and procedures for procurement and logistics, and key responsibility for ensuring the administrative office tasks are completed in an efficient and timely manner. In addition, the Office Administrator is to work closely with the Project Lead, Operations Manager and other senior staff to ensure all problems are communicated, tasks completed and the best support is given to operations.
The ideal candidate should be a native Arabic speaker with fluent English skills and possess a valid driving license.
Key Responsibilities:
Administration:
- Manage and maintain the office and accommodation facilities in Deir al Balah.
- Keep up to date with tasks assigned, and liaise with Global HQ to ensure tasks completed in line with HALO policies.
- Ensure all HALO premises are kept in a safe and clean condition.
- Manage administrative office staff, guards, and cleaners, ensuring adequate guard rotation, movement, and visitor logs at the office.
HR:
- Maintaining accurate and up-to-date HR files, records, and documentation, ensuring confidentiality.
- Checking leave and overtime requests, ensuring that they have been submitted correctly before inputting them into the human resources management system.
- Performing periodic audits of HR files and records ensuring correct collection and filing.
- Conduct monthly checks of the attendance list, leave requests, sickness records.
Procurement:
- Oversee the requests and procurement process to ensure HALO procedures are being followed.
- Assist the team in searches surrounding quote evaluation and procurement.
- Work with others to seek long term contracts and preferred supplier arrangements.
Logistics:
- Ensure all equipment bought by HALO locally is recorded in on the database.
- Monitoring of the operations stores and timely procurement needed.

Required Qualifications & Experience:
- Bachelor's degree is required (in any subject with proven record of strong academic achievement and numerical reasoning)
- Computer - Experienced using Microsoft Office package, with proficiency in Excel (required)
- Experience in logistic management systems
- Experience in HR management preferably in the non-profit INGO sector, with an understanding of Palestinian employment law.
- Spoken and written English – fluent level (required)
- Spoken and written Arabic – fluent (required)
- Driving license (required)
- Strong communication and good teamwork, ensuring excellent cooperation.
- Ability to work flexible hours, including weekends and evenings when required.
- High level of reliability, professionalism, and discretion.
Preferred Qualifications:
- Previous experience working with international organizations or NGOs.
- Familiarity with security and emergency procedures.
