Job Description
مؤسسة التعاون هي مؤسسة أهلية غير ربحية مستقلة تأسست عام 1983 بهدف توفير المساعدة التنموية والإنسانية للفلسطينيين في الضفة الغربية بما فيها القدس، قطاع غزة، مناطق 1948 والتجمعات الفلسطينية في لبنان.
تعلن مؤسسة التعاون عن حاجتها الى موظفين لملئ الشواغر التالية وذلك ضمن مشروع المتحف الفلسطيني التابع للمؤسسة:
Department: The Palestinian Museum
Job Title: Office Manager
Location: Ramallah
Duration: One year renewable
Reports To: Museum Director
Purpose of Position:
To provide a wide range of administrative and executive support to museum staff, and perform project-related tasks. The office manager should be able to work independently with little or no supervision. This person must be exceedingly well-organized, detail-oriented, flexible, discrete and enjoy administrative challenges.
In accordance with established WA policies & regulations:
A-Technical & Executive Responsibilities & Duties:
1-Handling overall office administration management and coordinating various office services and activities
2-Review project agreement outlines and deliverables as set by department heads
3-Review purchase/supply requests by department heads
4-Review logistics requests and travel and accommodation schedules
5-Prepare draft contracts
6-Prepare payment requests
7-Liaise with the WA administration and follow up all payments, purchases and admin work
8-Maintain staff/personnel files, and follow up with the WA HR unit
9-Liaise with WA finance department on all purchases, expenditures and budgetary matters
10-Perform activities such as organizing meetings, scheduling meeting rooms, issuing agendas, and initiating follow-up actions as required
11-Make sure that efficient and effective administrative systems are being developed and implemented
12-Receive visitors and corporate guests and make sure that hospitality is provided.
13-Generate documents (letters, meeting minutes, reports, etc) as directed, in addition to handling and maintaining all confidential information
14-Maintain and update lists of contact persons and entities for reference – Mailing list
15-File all the important documents and updating them when necessary
16-Send requests to amend insurance policies for new additions and deletions.
17-Prepare purchase orders according to inventory status or / and internal supplies requests.
18-Prepare quotation forms and dispatch to approved vendors.
19-Update vendor base files
20-Maintain and update the fixed assets register, including the performing of assets coding, physical count and ensuring that any movement of assets are properly authorized.
B-General Administrative Duties:
1-Write periodic reports related to the activities of office of the Museum
2-Handle any other work related activities as per the direction of the Director
Academic and Professional Qualifications and Experience:
- Bachelor degree in Business Administration, Information technology, or any related field
- Five years of experience in a secretarial or administrative position
- Proficiency in both written and spoken Arabic and English languages
- Excellent computer skills (MS-Office, MS-Project, and Internet Applications).
- Excellent communication skills (written and spoken) in Arabic and English.
- Professional knowledge in communication protocols
- Professional knowledge in office administration and management
