United Nations Children’s Fund (UNICEF) is willing to fill the following vacant post:
Title and Level : Operations Assistant –GS-4
Type of Contract :Temporary Appointment (TA) for 12 Months
Duty Station :Jerusalem- oPt
Key Tasks and Responsibilities of the Assignment :
Under the general supervision of the Chief of Operations the incumbent is assigned the following major duties:
1. Review and update office files and records relating to a variety of topics for information and references. Furthermore selects information and records in specified format for use by Chief of Operations and other Staff in preparing reports, correspondence, technical papers, projects or programme plans and general reference documents.
2. Classifies and codes material relating to a number of subject matter areas, and maintains general office files
3. Coordinates the work flow to the Chief of Operations, schedules and maintains appointments, including schedule of meetings, both internal and external. Provides Secretarial assistance as required.
4. Drafts routine correspondence, telegrams, memoranda and reports via oral instructions, previous correspondence or other available information sources, in accordance with standard office procedures
5. Maintains – updates security data base including status of local
6. Maintain operations section work plan and follow up on weekly priorities for review by the supervisor on weekly basis.Participate in operations group meetings and takes notes, prepares reports and ensures follow-up on planned actions.
7. Prepare and compile documentation for Audit reporting, Budget reviews and ensure proper filing of these documents.
8. Performs other duties, as required
Selection Criteria :
Academic Qualifications :
Completion of secondary education. Ability to operate a typewriter and keyboard equipment, such as a word-processor.
Work Experience :
Three to four years general clerical work, which should include a good knowledge of standard
clerical practices and procedures.
Languages :
Fluency in English Language required. Knowledge of the local language of the duty station is an asset.
