Expanded and Sustained Access to Financial Services Program (ESAF)
Job VacancyAED seeks candidates for the position of Procurement, Admin. Officer to be based in Ramallah,
Duration: 4 months
Duties and responsibilities:
-Procurements: Ensure that each ESAF procurement is appropriately sourced, that vendors and offers are analyzed and compared, as per the rules of the ESAF Operational Manual of office stationary and consumables, through the preparation of required documentation (Request for quotations, Bids Analysis, Purchase Orders, and follow up payments).
-Be responsible of the recruitment process (Draft JDs, advertise in the local press, short list candidates, , and submit the employment package to HO.
-Execute basic personnel management tasks.
-Insurance control: Ensure that all property of ESAF, including offices locations and vehicles, is adequately insured by current and sufficient insurance policies, same as medical/accident insurance for staff.
-Assist in the development, implementation and monitoring of ESAF project activities, in particular related to events planning and management, organization of training activities;
-Ensure that accurate inventory lists of all stocks and assets of ESAF are kept and maintained according to AED and USAID rules and regulations;
-handle the petty cash box and petty cash book at ESAF,
-Filing and Archiving: Establish and maintain the ESAF filing system for both hard copy and
electronic files in good order;
-Ensure that the Security Officer/Drivers and the admin assistant are carrying out their duties effectively according to their JD.
Qualifications needed for this position:
-Bachelors Degree in Business Administration or similar field from an accredited university.
-Previous experience in procurement and administrative work at USAID projects.
-Strong knowledge of USAID policies and regulations is an asset ;
-General knowledge of logistics issue.
-Excellent computer skills.
-Strong interpersonal skills and ability to work within a team is required.
-Excellent English communication skills (writing and speaking).
