Overview
The West Bank/Gaza Active Citizenry Activity (The ACA) funded by USAID and implemented by Global Communities is seeking to hire a Procurement Administrative Assistant. ACA aims to increase citizens’ participation in civic life and support their efforts to advocate for positive changes, foster social and political advancement, and improve overall living conditions and prosperity. The ACA will support the civil society sector, Palestinian citizens, media organizations, and other relevant stakeholders to become more active in civic life, decision making and advocacy for citizens’ rights and demands.
Under the direct supervision of the Director of Grants, Procurement &Compliance DGPC, this position will primarily focus on ensuring efficient implementation of the administrative functions related to the GPC department. This includes but not limited to Implementing administrative protocols and procedures. The position will encompass a range of procurement and administrative tasks, including documentation, coordination, and other related matters in supporting DGPC.

Responsibilities
- Assist in the preparation and processing of purchase orders, contracts, and procurement requests.
- Assist with data entry and data verification tasks to update procurement databases and track purchasing activities.
- Document procurement processes for easy retrieval and reference and share with concerned colleagues.
- Regularly update relevant databases and systems with relevant information.
- Ensure accuracy and completeness of procurement documents and obtained necessary approvals as per established procedures.
- Facilitate timely processing of procurement transactions.
- Assist in preparing function-related reports, presentations, and correspondence as required.
- Ensuring that function processes adhere to organizational policies and USAID regulatory requirements.
- Ensure the confidentiality of all departmental records.
- Provide Administrative support to the DGPC, as well as department members in fostering the progression of daily tasks.
- Perform other clerical\logistical tasks such as photocopying, scanning, and filing documents as needed.
- Any other assignment assigned by the supervisor.

Qualifications
- Bachelor’s degree in business administration, engineering, or any related field.
- Fresh graduates are welcomed to apply.
- Strong computer skills. Proficient in Microsoft Office package, especially Excel, Outlook, PowerPoint, SharePoint, and Word.
- Accuracy in data entry and document processing.
- Knowledge of document management and electronic filing systems.
- Time management and multitasking abilities.
- Ability to handle confidential information with discretion.
- Highly organized individual able to pay close attention to details.
- Ability to work as a member of a team of professionals in a fast-paced and challenging environment.
- Good command of spoken and written English and Arabic.
