Position: Procurement Assistant
Location: Ramallah
Reports to: Procurement Manager 
Duration: One year with possibility of extension

Job Objectives:

Follow up and manage the basic tasks of the procurement department, and support the procurement Staff.

Detailed Tasks & Responsibilities:

  • Gather invoices, track related info, tax docs, and all supporting documents in order to submit full payments to the finance department.
  • Follow up on all ongoing contracts, tracking their deadlines and help in issuing admin, time and cost modifications when needed.
  • Issue and follow up VAT exemption documents and update the procurement team accordingly.
  • Prepare and Issue Purchase Orders, in addition to MoUs amendments upon request.
  • Daily follow up with suppliers to obtain price offers and follow up receiving the price offers/tenders documents.
  • Conducts market research to search for potential vendors when needed.
  • Maintain updated records of purchased products, delivery information, and invoices.
  • Maintain appropriate records (soft and hard copies)
  • Scanning and printing all documents for archiving purposes.
  • Support in receiving, opening bids/quotations,
  • Update the vendor master lists and follow up vendor evaluations records.
  • Work with other team members and the Procurement Manager to perform all additional assigned duties as needed.
  • Writing meeting minutes for the procurement department meetings when requested.
  •  Undertake such other duties as are commensurate with the grade of the post.

Job Requirements

Skills/Qualifications:

Minimum Skill Requirements

  • BA in business administration or any other related field
  • Preferably one year Experience in NGOs or International Organization Procurement 
  • Fluency in using Google Apps & and other PCRF Platforms
  • Ability to quickly learn and adapt to new systems

Communication

  • Fluent in written and spoken Arabic; English language is spoken adequately
  • Accurately prepares written correspondence that is coherent, grammatically correct, effective and professional across languages.
  • Listens to others and accepts input from team members.
  • Dress and speaks in a professional and polite manner to all volunteers, staff, beneficiaries, and others;

Leadership
