Procurement Assistant
Job Description
The Palestinian Health Sector Development and Reform Project (Flagship Project) is a five-year project funded by USAID. The Project is seeking to recruit a long-term Procurement Assistant.
Procurement Assistant
Principle Duties and Responsibilities include but not limited to
-Prepare draft purchase orders and send copies to suppliers and to departments originating requests.
-Respond to customer and supplier inquiries about order status, changes, or cancellations.
-Review requisition orders in order to verify accuracy, terminology, and specifications.
-Prepare, maintain, and review purchasing files, reports and price lists.
-Track the status of requisitions, contracts, and orders.
-Calculate costs of orders, and charge or forward invoices to appropriate accounts.
-Compare suppliers’ bills with bids and purchase orders in order to verify accuracy.
-Monitor contractor performance, recommending contract modifications when necessary.
-Assist in preparation of all procurement documents e.g. bidding documents/request for proposals, bid evaluation reports, notification of award, contract management and Arranging inspection, etc.
-As part of procurement team, assist in the design and maintenance of a record-keeping and monitoring system for management.
Education, Qualifications and/or Equivalent Experience
-Bachelor’s Degree in related field preferred.
-Ability to work under pressure in a team-oriented environment.
-At least two years of experience, working with USAID projects or NGOs, in the field of procurement of Finance or related areas.
-Ability to effectively communicate, both verbally and in written form in English and Arabic.
-Ability to work in a professional and cordial manner with fellow Flagship staff members, consultants, counterparts, visitors, and the general public.
-Ability to prioritize work assignments and meet deadlines.
-Ability to work independently with minimal supervision, to prioritize work assignments, to meet
deadlines, and to exercise good, professional judgment that reflects positively on the image of the project and Chemonics.
-Excellent working knowledge of MS Word, MS Excel, MS Project MS PowerPoint, and MS Outlook.
