Program Assistant
Job Description
MAJOR DUTIES AND RESPONSIBILITIES:
The Program/s Assistant will work under the supervision of the program director with support from the three program managers. The PA’s responsibilities include, but are not limited to:
- Assist in organizing the project’s activities such as conferences, workshops, seminars, and meetings, etc. as well will assist with organizing workshops and meetings.
- Edit, format, and contribute to the drafting of reports and other documents, including informational emails, operational reports, briefing materials, training materials, donor reporting, and presentations.
- Contribute to collecting and tracking indicators and other monitoring and evaluation support.
- Plan and expedite travel and accommodation arrangements whenever needed.
- Assist in scheduling program meetings with partners and electoral stakeholders, and maintain a calendar of events.
- Take minutes of program/s meetings and serve as rapporteur for program events.
- Contribute to maintaining detailed records of program activities and files, including consultant contracts, personnel files, project files, etc.
- Provide other financial, administrative, and operational support, working closely with the team wherever requested.
- Assist with special projects, research, and program development in conjunction with the needs of the projects.
- Assist in data entry and documentation process for program/s documents and maintain an efficient filing system including all related documents.

Job Requirements
POSITION REQUIREMENTS:
- Prior experience organizing events and logistics;
- Experience working with NGOs, in the area of gender empowerment is preferred;
- Working level proficiency in Microsoft Office products including Word, Excel, PowerPoint, and Outlook.
- Excellent communication and organizational skills, including strong report writing and verbal communication skills;
- Based in the West Bank and able to travel within the West Bank, as feasible.
EDUCATION:
University degree in public administration, business administration, or a relevant field and/or minimum 3 years experience working with non-profit organizations.
LANGUAGE SKILLS:
Fluency in written and spoken Arabic and English is required.
