Vacancy- Programme Assistant



Medical Aid for Palestinians MAP-UK, works for the health and dignity of Palestinians living under occupation and as refugees. MAP is seeking a highly skilled staff to be hired and based at MAP’s Gaza office. 
Location: Gaza
Post: Full time

Under the supervision of the MAP’s Director of Programmes, Gaza, the post-holder will provide logistics and administrative support to MAP staff and visitors in Gaza

Duties and key responsibilities

Work permit, travel, accommodation and logistics support

-    Support the preparation and the submission of paper work necessary for permits applications for MAP staff and delegations and follow up permits issuing.
-    Ensure the timely recipient of MAP's security briefing by visitors, medical missions and MAP's colleagues from UK office prior to their arrival into Gaza.
-    Driving MAP staff and delegations from and to Erez, to their meetings and their residency places as requested.
-    Arrange for hotel reservations when and as needed, and support missions and delegations in terms of securing transportation
-    Provision of logistic support for MAP’s training including PTC & NLS, trauma, physiotherapy, general surgery etc

Warehouse management

-    Monitor MAP warehouses in Gaza, regular follow up on the status of the stored materials; supervise the safety, maintenance and cleanliness of warehouses and ensure readiness for release of goods during emergency situations.  Regular check up on the expiry dates, support of relocating/ replacing the stored items as deemed necessary.
-    Provide regular update on the status of MAP's warehouses to the Programme Manager and DoP, Gaza and obtain their approval prior to any release of items.

Hospital Liaison

-    Monitor MAP's prepositioned items at Al Awda hospital, keep the logbook updated and ensure the validity of all drugs items. Update the DoP and Programme Manager on items due to expire before six months of their expiry date.
-    Monitor the implementation of blood bank campaigns, timely provision of supplies to Al Shifa blood bank.

General

-    Support fundraising and communication related activities as requested. This may include; case studies, photography, upload on Picasa etc.
-    Support the filling system in the Gaza office, electronic and hard copy files. Provide IT support as may required.
-    As may needed, monitor the delivery of procured items at partners' or at MAP storages. Transport items and sign donation certificates.
-    Liaise with the programme team and national counterparts to facilitate project requirements as needed.

PERSON SPECIFICATION

Experience   

-    Demonstrated experience of logistics, administrative and communication work
-    Experience with an NGO, especially in an International one in similar function is desirable
-    Experience in organizing travel logistics for medical missions is desirable
-    Media or communications related experience is desirable

Skills and abilities

-    Organized self-starter, able to work alone or as part of a team.
-    Ability to work under pressure and under difficult circumstances
-    Respect/follow the applied security guidelines and keep the confidentiality of assigned tasks

Knowledge
   
-    Good communication skills in English and Arabic
-    Basic IT skills including excel and spreadsheets

Education/training   

-    A university degree in business administration, management or other related field.
Personal attributes and other requirements   
-    Tact, polite, and able to handle difficult situations and solve problem
-    Valid driving license and excellent awareness of traffic and road safety laws. familiar with different areas of Gaza Strip
-    Understand the work of MAP and commitment to our mission and services
