The ICLA programme requires a Programme Assistant to assist the Programme Manager with all aspects of the programme and assist with the management of ICLA programme information. The Programme Assistant will work under the direct supervision of the Programme Manager and will work closely with the East Jerusalem, West Bank and Gaza teams as well as with the Research and Information and International Component teams.
OVERALL RESPONSIBILITY:
The Programme Assistant is primarily responsible for the day to day administrative and operational needs of the ICLA Jerusalem office as well as maintaining a front office presence within the ICLA office. S/he will also assist with the management of internal and external meetings and disseminate ICLA programme material as necessary.
PRIMARY DUTIES:
-Work directly with the Programme Manager on programme activities assisting in any area required including substantive contributions to the ICLA programme;
-Responsible for drafting the ICLA team agenda (requesting input from Programme Manager and Project Managers and thereafter distributing agenda and team minutes minimum 1 day in advance on a weekly basis. Distributing and filing of the team minutes on a weekly basis;
-Responsible for follow up on substantive tasks with relevant team members from the action points and team minutes for all ICLA oPt meetings;
-Coordination of the Advisory Board, set up and attend meetings, draft minutes as necessary, follow up with the Advisory Board contracts and payments and follow up on all substantive action points with relevant persons;
-Coordination of the activities and program of the Displacement Working Group Legal Task Force including follow up on substantive tasks and technical proposals both internally and externally; circulation of e-mails, drafting of minutes as necessary;
-Administration of the internal processes on behalf of the project team e.g. archiving, , internal reporting;
-Dissemination of updated briefing packages, summaries, fact sheets, soft and hard copies, as prepared by ICLA project staff;
-Preparation of substantive ICLA Briefing Powerpoints for ICLA Programme Manager and other ICLA staff as requested.
-Provide direct support to the Research and Information department;
-Assist the Information and Monitoring and Evaluation Officers with the development and implementation of the Monitoring and Evaluation tools;
-Provide direct support to the East Jerusalem ICLA Project;
-Responsible for all general administrative and logistical duties necessary for the efficient running of the East Jerusalem office and the ICLA East Jerusalem project, and working closely with the administration and finance staff to ensure compliance with NRC finance and administration policies;
-Providing a ‘front desk’ presence for the ILCA East Jerusalem office including dealing with visitors, answering door and managing incoming and outgoing correspondence and incoming calls to ICLA
-Arranging workshops and seminars as required;
-Interpretation on field visits as required;
-Drafting letters and correspondence as required;
-Maintain good working relations with implementing partners, INGOs, NGOs and UN agencies;
-Management of the ICLA library
-Carry out other relevant duties as requested by the Supervisor;
Skills and Qualifications Required.
-Relevant Bachelor Degree plus minimum of three years work experience.
-Experience working for a non-governmental organisation.
-Knowledge of Israeli justice systems and human rights an asset.
-Excellent command of Arabic, English and Hebrew both written and oral.
-Ability to work under pressure independently and with limited supervision;
-Strong organisational and logistical skills;
-Ability to work in a team.
