Programs Manager Assistant
Title: Programs Manager Assistant.
Job Location: West Bank (Ramallah office).
Duration: 6 months with possibility for extension.
Reports to: Regional Humanitarian Program & Emergency Manager.
Position Summary:
The Programs Manager Assistant will be an integral part of our technical staff and will work closely with the Programs Manager, providing support to ensure seamless day-to-day operations, coordination with partners, and the programs' administrative tasks.
Key Responsibilities Include:
Program Support
- Assist the Program Manager in planning, executing, and monitoring teh program's activities and programs' workflows.
- Support in the preparation of program documentation, different types of reports, and presentations.
- Assist in the preparation of progress reports and updates for internal and external usage.
- Maintain programs' files and ensure they are organized and up to date.
- Schedule and coordinate meetings with the technical teams, ensuring timely communication and documentation.
- Administrative Support
- Provide administrative assistance to the Program Manager in maintaining different work systems used by PCRF.
- Assist in handling logistical arrangements for programs' activities.
- Others
- Contribute to maintaining the liaison with program teams in different locations.
- Perform any other additional duties that are mutually agreed with the line manager.

Education/training:
- Bachelor’s degree in a relevant field (e.g. Project Management, Public Health Management, International Development) at an international NGO.
- Experience of 12 years in Relief programs\ community-based work or work with vulnerable people
- Knowledge of Palestinian or international NGO environment, preferably in the health or social sector.
Experience:
- Proven experience in the health sector with good skills in the monitoring of health- and relief-related programs.
- Experience with an NGO/ INGO in a similar function is desirable.
- Relative background in health, programs monitoring, reporting, and coordination is essential.
Skills and abilities :
- Organized self-starter, able to work alone or as part of a team.
- Ability to work under pressure and difficult circumstances and occasionally during the weekend
- Respect/follow the applied security guidelines and keep the confidentiality of assigned tasks
- Ability to train others on new systems and tasks.
Knowledge :
- Good communication and writing skills in English and Arabic.
- Competent IT skills including Excel spreadsheets, and Word.
- experience in using ERP system
Personal attributes and other requirements:
- Tact, polite, and able to handle difficult situations and solve the problem.
- Valid driving license and excellent awareness of traffic and road safety laws.
- familiar with different areas of the West Bank. Incumbents will be required to drive to site visits.
- Understand the work of PCRF and commitment to our mission and services.
- Strong commitment to the aims, principles, and values of humanitarian programs and aid
- Fluency in written and spoken Arabic and English.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Very high sense of discretion and integrity when dealing with sensitive information
- Excellent organizational skills, precision, rapidity, reliability
- Ability to prioritize multiple tasks, meet deadlines, and manage workload and stress
- Sound oral and written communication skills, including the ability to network negotiate, and work as part of a team
