Art to Heart is a Palestinian non-profit organization based in Nablus that works with persons with disabilities through the arts. We create inclusive spaces where creativity supports social change, well-being, and rights.
Role Summary
The Projects/Activities Coordinator is responsible for supporting the planning, coordination, and reporting of projects and activities. This includes logistics, documentation, communication with stakeholders, and ensuring that activities follow the organization’s financial and administrative policies.
Key Responsibilities
Projects Coordination & Implementation
- Support the planning and implementation of project plans and activities according to timelines and work plans
- Coordinate field visits and events with partners, beneficiaries, and venues
- Prepare and follow up on contracts, Terms of Reference (TOR), and agreements
- Attend and document meetings with partners, donors, and stakeholders
- Maintain strong communication with project beneficiaries and manage relationships respectfully
- Manage the Children’s cultural programme at the organization
- Coordinate joint tasks with Art School department and Bridges Programme.
- Provide administrative support across departments and projects during planning, activities, trainings, and workshops
Reporting & Documentation
- Prepare project reports based on donor requirements, log-frame and internal templates
- Ensure all activity documentation and supporting documents are collected and archived (attendance sheets, media, feedback, financial sheets etc.)
- Coordinate with the finance manager to ensure all financial documents are provided and filed correctly, according to the internal policy
- Track project spending and support in preparing financial reports
- Manage the Pettit-cash spending and documentation
Communication & Collaboration
- Work closely with the Director and the Disability Specialist and team on all project components
- Coordinate directly with the Finance Manager and provide needed supporting documents
- Represent the organization professionally in meetings and field visits
- Contribute to team meetings and planning sessions
- Manage the service providers and coordinate the organization’s different administrative tasks.
- Any other duties as requested by the management.

Requirements
- Bachelor’s degree in business administration, public relations, English language, or related fields
- At least 5 years of experience in project coordination, in the non-profit sector
- Strong administrative and logistical skills
- Experience in reporting and preparing donor documentation
- Ability to coordinate across teams and with external stakeholders
ESSENTIAL Strong command of Arabic and excellent English (written and spoken)
- Good knowledge of Microsoft Office (Word, Excel, Outlook)
- Ability to work under pressure and during flexible working hours
- Strong commitment to inclusion, equity, and the rights of people with disabilities
- Place of Residence: Nablus
