Background
The Norwegian Refugee Council (NRC) re-established its presence in the Occupied Palestinian Territory (oPt) in January 2009 and is mainly developing programme activities in the sectors of shelter, education, food distribution and the provision of information, counselling and legal assistance (ICLA). The long term objective of the programme is to contribute to improved protection and living conditions for refugees and internally displaced persons in the oPt.
NRC requires a Receptionist/ Admin Assistant who will assist the Administration department welcoming visitors in NRC and assisting the Administration in day-to-day activities under the supervision of the HR/Admin Manager.
Overall responsibility:
The Receptionist/ Admin Assistant is responsible for all reception duties at the NRC Country Office in Jerusalem and assisting the HR/Admin Manager with daily tasks.
Main Duties:
-Responsible for all reception duties related to NRC Country Office, including welcome visitors, answering phone and taking messages.
-Responsible for Booking of the Jerusalem Guesthouse.
-Prepare attendance sheets for all staff in Jerusalem office, and monthly updating the attendance sheet in the attendance book and prepare a report.
-Responsible for keeping the reception area tidy and welcoming;
-Responsible for receiving the mobile bills and distributing them to staff and calculate staff payments for private calls;
-Responsible for taking bookings for the meeting room and ensuring that it is kept in order.
-Preparing the communication equipment and Procurement of fruit/pastries/lunch when needed.
-Prepare monthly overview of use of meeting room and the Guesthouse.
-Responsible for registration of all invoices in the invoices book and make sure to hand over the invoice to the concerned unit.
-Provide administration cover and support to other NRC departments if requested;
-Work closely with the other staff and ensure good team work and spirit;
-Responsible for closing the office including all the windows and doors before leaving.
-Responsible for the leave administration by keeping leave sheets updated with leave balances and send monthly report with the leave balances among staff.
-Responsible for submitting permits applications to Erez and entering visa/permit information in the registration system.
-Administration of NRC’s official email address.
-Carry out other relevant administrative duties as requested by the supervisor.
SKILLS AND QUALIFICATIONS REQUIRED
-Diploma degree or other relevant education
-Minimum 2 years of experience in administrative office.
-Ability to work under pressure, independently and with limited supervision.
-Strong organisational skills.
-Pleasant personality and teamplayer
-Excellent command of English, Arabic and Hebrew both written and orally.
-Excellent computer skills (Word, Excel).
-Preferable Jerusalem Residence ID.
