Mazaya Business services is a consulting firm established in Palestine, offering a high value service in management and business consulting and unique training services. Mazaya Business Services is currently seeking qualified candidates to fill the position of A Senior Administrative Assistant. . The candidate must have special skills such as problem solver, risk taker, free thinker, comfortable with increasing levels of responsibility, and with an eye for thoroughness.
Role Purpose:
To provide a high level support to the Top Management with high accuracy of work and a high sense of responsibility.
Reports to: Senior Company Manager
Starting Date: As soon as possible
Contract Duration: Annual contract renewed based on performance appraisal.
Tasks and Responsibilities:
-Support the Senior Company Manager in preparing internal documents and reports.
-Liaise with senior staff, consultants, international visitors, and other stakeholders.
-Perform activities such as organizing meetings and events, scheduling meeting rooms, issuing agendas, and initiating follow-up actions as required.
-Interpret and translate documents and reports from and into Arabic and English as required.
-Support in preparation of information material for the Senior Company Management.
-Monitor all incoming and outgoing correspondence (phone, post, fax, email) and ensure prioritizing and organizing each.
-Organize, coordinate and plan the Senior Company Manager’s daily appointments, duty trips and official travels.
-Filing and processing of documents in line with company policies and procedures.
-Ensure smooth workflow and good communication flow, particularly with the Senior Company Manager.
-Ensure security, integrity and confidentiality of data.
-To perform any other related duties and tasks as directed by the Senior Company Management.
Qualification and Experience:
-University degree required. Degree in management/administration or similar area preferred.
-Must be highly energetic and enthusiastic with at least 7 years relevant professional experience in a similar role for a project or an organization, previous experience with international companies and/or organizations is preferred.
-Have true “service soul”, always aiming to exceed expectation.
-Excellent computer and ICT technologies (in particular MS Word, Outlook, Excel, internet, phone, fax)
Strong communication and interpersonal skills, ability to work with all levels and functions within the company.
-Fluent in Arabic and English (Oral and Written).
-Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for
colleagues. Must be capable of working both individually and as part of a team.
-Ability to work effectively in a fast-paced, stressful environment.
-Strong organizational and prioritization skills.
