Job Description
Job Title:Team Assistant
Duty station: Jerusalem
Closing date:April 14, 2012
Grade:GS04
Duration of contract: Temporary appointment for 12 months (with possibility of extension)
The WHO Office for West Bank and Gaza wishes to recruit a Team Assistant to provide a variety of
secretarial/administrative work for the assigned project(s) in support of project/program activities.
Description of duties
Under the direct supervision of the Administrative& Finance Officer and general guidance of the
Head of Office and relevant Project Officer(s), the duties are, but not limited to:
1-Provide full range of clerical and secretarial services, ensuring that deadlines are met;
correspondence and queries are responded to in a timely manner.
2-Receive, screen and process incoming correspondence and requests.
3-In close coordination with the Administration/Finance unit, process all requests related to
programme activities in the WHO accounting system. Follow up with concerned parties the
completion of deliverables and payments.
4-Make necessary arrangements for field visits and duty travel of team members.
5-Assist in organizing meetings, workshops and training activities.
6-Screen and receive visitors and telephone calls with tact, discretion, making appointments,
answering queries and/or redirecting visitors and callers with diplomacy and courtesy. Update and
maintain records and reference files.
7-Replace support staff, and perform other related duties including provision of support to other
areas of work and teams as required.
Required competencies:
-Communication in an effective and credible way
-Producing results
-Fostering integration and team work
-Knowing and managing oneself
Experience and Qualifications required:
-Completion of secondary school, supplemented by secretarial/administrative training.
-2 -4 years progressive experience in administrative work preferably in the UN system.
-Good knowledge of procedures and established rules.
-Good drafting skills in preparation of correspondence and report.
-Ability to operate work processing or micro-computers (MS Office).
-Ability to work harmoniously as a member of a team, to adapt to diverse educational and cultural background and maintain high standards of personal conduct.
-Ability to work in pressing situations with conflicting priorities.
-Fluency of spoken and written English & Arabic
