Vacancy Announcement
The United Nations Educational, Scientific and Cultural Organization (UNESCO) invites suitably qualified candidates to apply for the POSITION OF SENIOR SECRETARY to be based at UNESCO Office in Ramallah.
Duties and Responsibilities:
Under the overall direct supervision of the Head of Office, the incumbent will perform the following duties:
-Maintain the Head of Office's working schedule, ensuring effective coordination between the various sectors, the Head of Office, Administration and Headquarters. Organize staff meetings as requested by the HoO and prepare minutes.
-Maintain an updated data base and act as the focal point with the Ministry of Planning for the Palestinian Assistance Monitoring System (PAMS). Contribute to maintaining an up-dated web page for the Ramallah office in both in Arabic and English.
-Plan and monitor the office training budget and training activities, working closely with the Head of Office and the Administrative Officer to maintain a well organized development plan and timely use of funds.
-Assure the updated visa status of all International staff in the country and all related documents such as UN cards, driving licenses, UNLPs and the UN cards of the local staff.
-Assure administrative and operational tasks for the CI desk including preparing requests for obligations, payments and procurement. In consultation with ADM, monitor and update the budget status related to the implementation of contracts and activities.
Qualification requirements:
-Basic understanding of the inter-agency UN and aide coordination mechanisms in the oPt
-Understanding of the project cycle from the programmatic, administrative and financial aspects
-Knowledge of Security procedures in a Phase 3 and 4 context
-Ability to work in a multi-cultural team
-Ability to work under pressure and within deadlines
-Excellent communication skills
- Excellent English and understanding of French an advantage
-Knowledge of microsoft office, IT Type 3
-At least 3-4 years professional experience with a UN agency/international organization/NGO in the oPt
