Main Duties and Responsibilities:
Under the overall supervision of UNIFEM oPt Head of Office and the direct supervision of the Women Human Rights Unit Project Manager, UNIFEM wishes to bring on board a Project Assistant, who will undertake the following duties and responsibilities related to projects and activities under the Unit:
-Provide administrative support to the Unit, including in issuing of contract, preparation of payment requests, travel authorizations, F10 claims etc;
-Assist in implementing the projects and coordinating between the procurement and supply chain activities;
-Ensure and maintain proper filing, both soft and hard versions, of project documents;
-Ensure proper follow up of the payments related to the contracts in place for the project;
-Ensure project partners submission of progress and final narrative and financial report;
-Follow up with partners for the submission of documents and outputs necessary for the disbursement of payments in accordance with contracts in place;
-Assist in the organization of events;
-Draft formal correspondence, in both Arabic and English language;
-Provide translations, as requested;
-Ensure timely respect of deadlines of the assigned projects;
-Maintain effective partnerships with projects partners;
-Ensure regular financial monitoring and report accordingly, promptly highlighting possible discrepancies with the project budget;
-Collect project data, as required and in accordance with project monitoring and evaluation frameworks;
-Support in coordination efforts with project partners and in ensuring flow of information;
-Draft reports and briefings, as requested;
-Develop simplified project documents, as requested;
-Perform other duties as required.
Qualifications:
-High school and/or Diploma
-Two to three years of experience related to administrative field or project implementation
-Very good administrative abilities;
-Very good communication skills;
-Ability to work independently and within a team;
-Very Good writing skills in Arabic and English.
-Voluntary and/or professional experience in women's projects, as an asset;
