1. IDENTIFICATION:
POST TITLE : Administrative Officer A
DEPARTMENT : Public Information
GRADE : 14 / 4A
DIVISION : Director's Office
LOCATION : HQ (Jerusalem)
2. PLACE IN THE ORGANIZATION:
Is responsible to Chief/Public Information Officer and Arabic Spokesperson.
3. RESPONSIBILITIES AND DUTIES:
In accordance with established Agency policy and procedures, the incumbent:
1) Directs, co-ordinates and supervises the administrative functions Department concerning personnel, budget and financial matters.
2) Co-ordinates the preparation of the Department’s budget, monitors expenditure, invoices, prepares service contracts and performs other financial matters.
3) Contacts other departments and divisions, obtains or coordinates materials information as and when required.
4) Ensures the provision and control of various supplies and maintains appropriate records thereof.
5) Makes payments out of the imprest funds, maintains records and replenishment reports as necessary.
6) Prepares reports, drafts memoranda and issues other internal administrative instructions.
7) Collects, compiles and analyses statistical data related to the Department; prepares computer-aided diagrams, timelines, Gantt charts and presentations.
8) Initiates correspondence of administrative and financial nature and registry services and appropriate files and records.
9) Coordinates administrative issues related to the work of the administration the field public information offices.
10) Translates simple miscellaneous correspondence from Arabic into English and vice-versa
11) Performs such other duties as may be assigned.
4. MINIMUM QUALIFICATIONS
(A) Academic and Professional:
University degree in Business or Public Administration or any other related discipline.
(B) Experience:
a) Four years’ experience in a large commercial, governmental international organization, in which three years should be at a secretarial/ administrative level.
b) Demonstrated ability to operate personal computers and knowledge standard computer applications used by the Agency.
c) Demonstrated knowledge and use of MS-Project and Power Point.
(C) Language:
Very good knowledge of spoken and written English and Arabic languages.
5. DESIRABLE QUALIFICATIONS:
(1) Knowledge of the Agency’s administrative procedures.
(B) Prior experience with a United Nations organization.
